Receptionist / Office Coordinator
The Receptionist / Office Coordinator serves as the first point of contact for visitors and supports the smooth operation of day-to-day office activities. This role maintains a welcoming and professional front office presence, oversees administrative and office coordination tasks, manages vendor-related expenses, and ensures the office environment remains clean, organized, and well-stocked.
Responsibilities
- Greet and assist guests, clients, and visitors in a professional, courteous, and service-oriented manner.
- Answer and direct incoming phone calls to the appropriate departments or personnel.
- Validate visitor parking within established timeframes and ensure proper documentation as needed.
- Maintain a clean, organized, and well-stocked office environment, including common areas and front desk space.
- Coordinate office supply orders and manage inventory, including placing orders through platforms such as Instacart.
- Process and pay invoices in a timely and accurate manner.
- Reconcile corporate credit card transactions and expenses and ensure proper recordkeeping.
- Provide general administrative support to office staff as needed, including basic clerical and coordination tasks.
- Assist with miscellaneous office coordination responsibilities to ensure smooth daily operations.
- Interact comfortably and professionally with executives, employees, vendors, and visitors while representing the front office.
Essential Skills
- Previous experience in a receptionist, front desk, administrative assistant, or office support role, with at least 2 years of front desk or reception experience.
- Associate or Bachelor's degree.
- Strong customer service skills and a service-oriented mindset.
- Excellent verbal and written communication abilities.
- Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including regular, hands-on experience.
- High attention to detail and strong organizational skills.
- Dependable, reliable work ethic and professional demeanor.
- Ability to work on-site and maintain a consistent, professional front office presence.
- Comfort interacting with executives, employees, vendors, and visitors in person and over the phone.
Additional Skills & Qualifications
- Experience creating or working with email campaigns or campaign logic is preferred.
- Demonstrated front desk and reception experience in a professional office environment.
- Polished interpersonal skills and a customer serviceoriented approach to all interactions.
- Strong communication skills, including the ability to convey information clearly and professionally.
- Ability to maintain composure and professionalism while handling multiple requests.
- Consistent attention to detail in managing office supplies, invoices, and expense reconciliation.
Work Environment
This is an on-site position based in a professional office setting, requiring a full-time presence at the front desk five days a week. Standard hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. EST. Business professional attire is required to maintain a polished and professional front office image. The role involves regular use of Microsoft Office Suite and other basic office technologies, as well as coordination with vendors and internal staff. The position is offered as a 6-week contract with potential to extend or convert to a full-time role, providing a stable, structured environment with consistent daytime hours.

Pay and Benefits
The pay range for this position is $20.00 - $21.00/hr.
