Operations Support Coordinator

Snapshot / Role Overview
We're seeking an Operations Support Coordinator in Los Angeles, CA to provide administrative and operational support to mechanical construction project teams.

Impact
- Improve project team efficiency by managing administrative workflows and documentation
- Ensure timely processing of contracts, purchase orders, and billing documents
- Strengthen internal communications by coordinating between field, office, and leadership teams
- Support smooth project execution by keeping operational processes organized and on track

Responsibilities
- Process contracts, purchase orders, and change orders through company systems
- Coordinate project billing, invoicing, and accounts receivable tracking
- Maintain project files, correspondence, and document control systems
- Schedule and coordinate internal meetings, trainings, and team events
- Assist with onboarding new employees and managing HR-related documentation
- Prepare reports, presentations, and correspondence for division leadership
- Support fleet and equipment management including tracking and maintenance scheduling
- Coordinate with vendors, subcontractors, and clients on administrative matters

Requirements
Must-Haves
- 2+ years of administrative or operations support experience in construction or a related industry
- Proficiency with Microsoft Office including Excel, Word, and Outlook
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a deadline-driven environment
- Professional communication skills for internal and external interactions

Nice-to-Haves
- Experience in mechanical or MEP construction
- Familiarity with construction accounting or ERP systems
- Knowledge of project management software
- Associate's or bachelor's degree in business administration or related field
