Job Summary The University of North Georgia is currently accepting applications for an Administrative Assistant to the AVP Real Estate & Auxiliary Services. The Administrative Assistant serves as Executive Infrastructure support for the Office of the Associate Vice President (AVP) for Real Estate & Auxiliary Services. This role is designed to strengthen portfolio-level coordination, reporting discipline, workflow execution, and cross-unit alignment across Auxiliary Services and Real Estate functions. The Administrative Assistant reports directly to the AVP and supports executive-level initiatives that span Housing, Dining, Parking & Transportation, Vending, Event Venue Operations, and Real Estate Foundation coordination, and related institutional priorities. The Administrative Assistant increases leadership capacity by ensuring administrative execution, documentation discipline, and follow-through reliability. May require travel to other campuses and/or occasional evening attendance for meetings. In addition to background checks for all cardholders, O.C.G.A. § 50-5-83 requires a credit check on all employees issued a purchasing card. Responsibilities Executive Level Support to the AVP Manage AVP calendar, prioritization and scheduling. Prepare executive correspondence, presentations, and briefing materials. Coordinate and attend executive meetings and other meetings as requested and ensure preparation materials are organized and distributed and that accurate notes are taken during the meeting. Track strategic initiatives, KPIs, deadlines, and deliverables. Maintain executive level documentation systems and files to include data dashboards. Portfolio-Level Coordination When portfolio-level coordination, reporting, or execution is required, the Administrative Assistant may work alongside the Executive Director of Auxiliary Services and Director of Real Estate to strengthen workflow execution. Examples include Assembling & Creating UNG REF Board materials. Formatting and compiling consolidated portfolio reports. Coordinating cross-unit meeting logistics. Oversee Guest Housing. Serve as facilitator of Office phone calls and oversee responses to generic Auxiliary email account. Tracking follow-ups on AVP & SLT level initiatives. Supporting documentation for USG review processes. Preparing standardized reporting templates. Consolidating budget summaries and data for executive review. Supporting compliance documentation tracking. Workflow & Reporting Maintain portfolio level tracking systems for initiatives. Ensure meeting notes, action items, and deadlines are captured and monitored. Create standardized templates and dashboards to increase efficiency across units. Improve documentation consistency and executive level presentation standards. Support internal communication flow within the leadership team and serve as primary phone and generic email operator for department. Ensure internal digital files are organized and maintained. Executive Meeting & Governance Support Prepare materials and coordinate day of for key Real Estate and Auxiliary Meetings. Coordinate documents for institutional review as requested. Maintain confidential records and executive documentation. Ensure leadership meetings are organized, structured, and followed through. Performs other related duties or special projects as assigned. Knowledge, Skills, & Abilities Strong organizational and time-management skills. Ability to prioritize tasks and manage competing deadlines. Professional written and verbal communication skills. Demonstrated discretion when handling confidential information. Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint). Basic understanding of budgeting or financial tracking preferred. Ability to learn enterprise systems: PeopleSoft, Banner, PowerBI, etc. Strong attention to detail and proactive problem-solving skills. Required Qualifications Bachelor's degree required. 1.5 years of administrative, business operations, or office coordination experience. Or equivalent combination of education and experience. Preferred Qualifications Fields of study in Business Administration, Public Administration, Real Estate, Finance, or related discipline preferred. Experience in higher education, real estate, finance, or business environment preferred.
