Job Title: Administrative Specialist (Interdisciplinary Medical Sciences BS Program - Medicine) Location: Tallahassee, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 62498 Department College of Medicine, Interdisciplinary Medical Sciences BS Program Responsibilities This position is responsible for assisting with management and administrative support for the Interdisciplinary Medical Sciences (IMS) and Pre-health Programs. Responsible for administrative, financial, and compliance activities for the Interdisciplinary Medical Sciences (IMS) and Pre-Health Advising Office. Serves as a subject matter expert maintaining awareness of the scope of IMS Program and Pre-Health functions, activities, programs and initiatives. Works with Deans and Directors to review program activities and implement changes to promote effective and efficient operations following division policies and procedures. Responsible for oversight of the IMS and Pre-Health Advising Office staff and workflow including the student appointment scheduling platform. Prepares and presents regular reports to the IMS Deans and Directors to include forecasting course demand and enrollment patterns, Deans and President's List reports, and other Business Intelligence reports as needed. Participates in the maintenance of central student advising data for the program and program committees. Coordinates advising appointment scheduling for IMS and Pre-Health students. Manages advising materials in preparation for appointments and new student orientation. Directs students to program and campus resources. Oversees efficient and effective flow of student traffic, phone calls, and e-mails. Works closely with the Administrative Associate to ensure a high level of customer service is provided to students and guests. Manages the IMS Academic Progress Check Workflow. Responsible for the organization of all student records for the IMS and Pre-Health Programs. Works with the IMS Senior Administrative Specialist on finance and human resources needs for the IMS and Pre-Health Programs. Responsible for maintaining office supplies and other internal purchases. Serve as the travel liaison for the IMS and Pre-Health Programs. Works closely with the IMS Senior Administrative Specialist on travel-related matters in accordance with Florida State University policies and procedures. Enters Employee Action Requests (EARs) for the IMS and Pre-health Programs. Works closely with Deans and Directors to develop and manage IMS and Pre-health branding online and in print materials. Maintains public relations materials, newsletters, and website policy compliance. Promotes an atmosphere of teamwork in accomplishing the mission of the COM. Creates and maintains electronic filing system. Maintains up-to-date website as directed by the advisors. Makes all photocopies of materials needed by advisors. Qualifications Bachelor's degree and two years of experience; or a high school diploma/equivalent and experience equal to six years. (Note: post-high school education can substitute for experience at the equivalent rate.) This position requires successful completion of a criminal history background check.
