Accounts Payable and Payroll Specialist

Key Responsibilities


AP & Vendor Management

• Process vendor invoices, including coding, matching, obtaining approvals, and resolving discrepancies with vendors and internal stakeholders.
• Prepare and execute payment runs, including checks, ACH transactions, and other approved disbursements.
• Maintain accurate vendor records, including W-9 forms and supporting documentation.
• Assist with annual 1099 preparation and filing requirements.
• Monitor accounts payable aging, reconcile vendor statements, and support month-end closing activities.

Payroll

• Process weekly payroll accurately and on schedule, including required payroll tax reporting and compliance activities.
• Review employee timecards, validate payroll data, and assist with payroll audits as needed.
• Track and document employee attendance, call-ins, and absences.
• Prepare payroll-related journal entries and support account reconciliations.
• Maintain strict confidentiality when handling employee, payroll, and sensitive company information.
