Administrative Associate

Cumberland County, NC

Child Support Department Receptionist

We're seeking a proactive, customer-focused professional to serve as the primary receptionist for our Child Support Department. In this pivotal role, you will be the first point of contact for clients and visitors, delivering outstanding service and ensuring smooth day-to-day operations through essential administrative support. It's an opportunity to be a vital part of a dedicated team making a direct impact on the well-being of children and families in our community.

Examples Of Duties
  • Serve as the first point of contact by greeting visitors, answering phone calls, and responding to email inquiries in a courteous and professional manner.
  • Provide accurate information, assistance, and direction to clients, visitors, and the public
  • Participate in call center operations as scheduled, managing high volumes of client communications efficiently
  • Receives, requests, researches, and compiles technical, financial, and program-related information necessary to support departmental operations and activities
  • Prepares reports, charts, forms, spreadsheets, and other documentation to support departmental programs, projects, and administrative functions
  • Enters, updates, and maintains data within ACTS, spreadsheets, and other automated systems to ensure accurate and current records
  • Communicates and distributes information to department staff through ACTS-generated notes, Outlook email correspondence, and other approved communication methods
  • Reviews and verifies data for accuracy, completeness, and compliance prior to generating reports and distributing information
  • Creates, organizes, and maintains electronic and physical files, records, and related documentation in accordance with departmental procedures
  • Operates standard office equipment, including computers, copiers, fax machines, telephones, and other business technology necessary for daily operations
Minimum Qualifications

High school diploma or GED and the ability to perform the primary duties of the position

Managers Preference: Ability to read, write and speak Spanish/English.

Necessary additional requirements: Successful completion of Basic Word, Customer Service and Spelling will be required. Candidates selected as qualified will be contacted via email by a Human Resource representative for testing.

Knowledge, Skills And Abilities
  • Knowledge of basic office practices, procedures, and administrative support functions
  • Knowledge of arithmetic, grammar, spelling, and vocabulary necessary for accurate recordkeeping and communication
  • Knowledge of word processing, spreadsheet, and other computer applications utilized within the assigned office
  • Skill in operating standard office equipment, including computers, scanners, copiers, fax machines, typewriters, and related technology
  • Skill in processing and maintaining data, records, and other program-related information with accuracy and attention to detail
  • Skill in utilizing automated systems and technology to efficiently perform assigned duties and responsibilities
  • Ability to communicate effectively and professionally in person, in writing, and by telephone with employees and the public
  • Ability to exercise tact, courtesy, and professionalism in interactions with coworkers, citizens, and stakeholders
  • Ability to follow oral and written instructions, policies, and established procedures accurately and efficiently
  • Ability to enter and maintain data with a high degree of accuracy and at the speed required for the assigned program or position
  • Ability to establish and maintain effective working relationships with employees, departments, and the public

Conditions Of Employment:

Successful candidates who receive a conditional offer of employment with Cumberland County must pass pre-employment screenings, including criminal history checks and drug screenings, as required by Cumberland County Policies and Procedures, prior to beginning work or receiving a final offer of employment. Refusal to submit to testing or testing positive for prohibited substances will result in the withdrawal of the conditional employment offer.
