Business Operations Associate

At qoncept Americas, you'll play a central role in a growing international business, work directly with company leadership, and contribute beyond a narrowly defined job function. We're a small team with big ambitions, and we're looking for a capable, resourceful professional who wants to help build it.

qoncept Americas is part of an international engineering and technology group developing equipment, automation, and software solutions for the steel industry. Our work helps steel producers improve safety, efficiency, and productivity.

Based in Moon Township, PA, our U.S. team supports customers throughout North and South America, working closely with our engineering and technology teams in Austria.

As our Business Operations Associate, you'll take ownership of our day-to-day order management process, from customer requests and quotations through purchasing, delivery, and invoicing.

You'll work directly with the CEO, customers, suppliers, and our European team to confirm orders, coordinate logistics, keep customers informed, and make sure the right products are on hand and get where they need to go.

The role is hands-on and varied. Some responsibilities are structured and recurring, while others shift with customer needs and ongoing projects. We're looking for someone who will learn our workflows, take ownership of their work, and over time help run day-to-day operations independently while improving how we operate.

Order Management

• Handle customer RFQs, quotations, purchase orders, and order confirmations
• Verify pricing, availability, and delivery dates with customers and our European team
• Process orders and purchases in our ERP system (Odoo)
• Track open orders, send delivery updates, and keep customers informed
• See each order through to delivery and invoicing, ensuring accuracy at every step

Logistics & Inventory

• Coordinate inbound shipments from Europe and outbound shipments to customers, including international freight
• Work with freight forwarders and customs brokers on deliveries and import documentation
• Receive and inspect incoming parts and maintain accurate inventory records
• Monitor stock levels and manage inventory replenishment
• Prepare customer shipments, including packing, labels, and shipping documents

Operations

• Maintain organized business records and support routine accounting activities
• Identify ways to improve our processes and make everyday operations more efficient
• Help on other business needs as they come up, as everyone on a small team does
  

We welcome candidates with backgrounds in operations, purchasing, inside sales, customer service, logistics, or other business roles. More important than a particular title or degree is how you approach your work.

• Adaptability: You enjoy a mix of office work and hands-on tasks like receiving deliveries and preparing shipments.

Experience with ERP, purchasing, or order management software is a plus. Experience with Odoo or the steel industry is not required.

This role is based at our Moon Township office, and being on-site is an important part of the job. Once you're established, you'll have the flexibility to work from home up to two days a week, scheduled around receiving and shipping needs. We also offer flexible hours. We care about results, not time at a desk.

• Salary: $60,000–$80,000, based on experience and capabilities
