Under the direction of the Assistant Director of Club and Intramural (IM) Sports, the IM Sports & Recreation Coordinator serves as a member of the Mazama Facility management team, responsible for overseeing facility administrative functions, operations and security. Exercises independent judgment and advises the Assistant Director of Club & IM Sports on procedures and policies related to IM priorities, facility issues, security practices, resource utilization, and, in partnership with the Assistant Director of Club and Intramural (IM) Sports, addresses the ongoing improvement of facility-related issues. Facilitates communication, manages interpersonal conflicts, and ensures facility operations effectively support organizational objectives and public service needs. Plans, manages, organizes, promotes, evaluates, and expands IM Sports for students, staff, and community members following regulations and guidelines for such Sports, leagues, and events.
Essential Duties and Responsibilities:
Intramural and Event Management:
- Prepares facilities for College athletic events, leagues, and sports.
- Acts or designates a trained event supervisor at all scheduled activities and events.
- Serves as primary contact for all groups (on and off campus) inquiring about IM Sports or Fitness Facilities alongside the Assistant Director of Club & IM Sports.
- Develop and oversee participant eligibility verification systems to ensure accurate enrollment validation and adherence to institutional policies.
- Lead the building, execution, and continuous evaluation of IM Sports programming utilizing data-informed practices to increase student participation, operational efficiency, and program outcomes.
- Develops and deploys promotional and communication plans for events and IM sports. Updates webpages for Intramural Sports offerings and other sports and recreation in collaboration with the Assistant Director of Club & IM Sports and Marketing and Public Relations.
- Monitors and maintains the safety, accessibility, and readiness of outdoor athletic facilities; proactively coordinates with Grounds and Campus Services staff to prepare, maintain, and set up facilities for races, home athletic events, open play activities, tournaments, sports leagues, and other ongoing campus events.
Staff & Relationship Management:
- Manages all hiring, onboarding, training, scheduling, and supervision for IM Sports staff and Fitness Center Attendants.
- Works proactively with employees, Assistant Director of Club & IM Sports, and HR to evaluate and manage building and activity needs to ensure appropriate staffing levels are consistently maintained.
Operational & Facility Management:
- In partnership with the Assistant Director of Club & IM Sports, represent Student Life to work proactively and collaboratively within an interdisciplinary, mixed-use facility supporting faculty, staff, COCC students, and community partners.
- Collaborate with the Assistant Director to align facility operations with College and Department priorities.
- Identify operational needs and implement solutions that support College, student, and community objectives; exercise independent judgment to balance competing operational needs and resources.
- Under the oversight of the Assistant Director of Club & IM Sports, develop and manage community facility partnerships, including evaluating opportunities, negotiating terms, and coordinating contract development and approval with Fiscal Services to ensure compliance and alignment with College objectives.
- Lead the promotion, operation, and expansion of the sports and exercise equipment lending program, ensuring responsible lending practices, risk mitigation, stewardship of publicly funded equipment and resources, and sustainable systems.
- Oversee the Mazama facility fitness inventory, including the maintenance, repair, replacement, and disposal of College equipment and assets in accordance with state and federal requirements and applicable policies and procedures.
- Work collaboratively with COCC internal departments, external contractors, and service providers to ensure facilities are safe, secure, efficient, well maintained, and used strategically.
- Identify operational needs, assess risks, develop solutions, and implement improvements to support current and future organizational requirements.
Administrative Functions:
- Serve as the primary manager for evening operations at Mazama, coordinating with the Assistant Director of Club & IM Sports to ensure operational continuity, facility safety, emergency preparedness, and appropriately trained staff coverage.
- Participate in Student Affairs Division Meetings.
- Participate in campus committees, task forces, and hiring committees as approved by supervisor.
- Other duties as assigned.
Knowledge, Skills, and Abilities:
Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the duties and responsibilities of the job, with or without reasonable accommodation, using some other combination of skills and abilities. The individual is expected to follow College work rules and policies.
- Ability to successfully develop, coordinate, and promoting new programming and maintain existing recreational programs (sports leagues, tournaments, races and IM sports).
- Ability to manage a fitness facility with a large number of users, ensuring a clean and safe environment.
- Ability to work effectively in a team environment and to build and maintain effective student, staff, faculty and peer relationships.
- Demonstrated ability to exercise independent judgment and decision-making, with little or no direct supervision.
- Ability to oversee Mazama building operation in the absence of the Assistant Director of Club and IM Sports.
- Knowledge of conflict resolution and de-escalation strategies and the ability to effectively mediate disputes, manage difficult conversations, defuse tense situations, and maintain positive working relationships among diverse stakeholders.
- Ability to manage complex schedules.
- Ability to work independently and collaboratively, manage priorities, and meet deadlines.
- Ability and skill communicating and interacting effectively with a diverse group of individuals, including students, staff, faculty, and community members.
- Ability to accurately, consistently, and thoroughly maintain documentation of departmental processes, procedures, and operational practices.
- Ability to lift more than 50 pounds on an occasional basis; less than 50 pounds on a frequent basis.
- Ability to work both indoors and outdoors in all types of weather.
- Ability to use software programs and database systems including Microsoft Office Suite, Canva, email, website editing, and basic desktop publishing.
- Must be able to represent the College in a positive, professional manner.
Minimum Requirements:
Education:
Bachelor's degree in Recreation, Health, Exercise Science, Physical Education, Kinesiology, or related field.
Experience:
- One year experience in any of these areas: fitness facility, campus recreation program, college athletics, or sports event management.
- One year event planning experience.
Necessary Special Qualifications:
- Current First Aid Card with Current CPR certification or ability to obtain within 60 days of employment.
- Conflict resolution or de-escalation skills or experience
Preferred Qualifications:

- Experience working in higher education.
- Experience overseeing a facility or department with multiple employees on various schedules.
