Program Management Coordinator

JOB RESPONSIBILITIES Logistics – Coordinates and schedules all logistics related to the assigned program, including meetings, conferences, conference calls, and other appointments. Takes and transcribes meeting minutes, maintains area calendars, coordinates travel arrangements (including international), reimburses expense reporting, sets up and manages call schedules, places orders for materials, distributes resources while monitoring the budget for funded projects, supports grant applications and manuscript references, liaises with clinical, business, and billing/coding personnel for documentation and procedural modifications, organizes patient records and electronic systems, assists with program budget, account payables, and receivables. Administrative Support – Provides administrative support for all program matters, prepares, organizes, and submits reports, clinical communications, and presentations; ensures operational information is communicated to staff, assists leadership in program needs assessment and long‑range goal setting, coordinates projects, offers training to new employees and oversees students and learners, represents the area at meetings, and coordinates inpatient/outpatient groups and referrals. Customer Service – Supports appointment setting and follow‑up, communicates workflow suggestions, provides problem‑solving assistance to parents and professionals, ensures proper scheduling for clinical flow, facilitates referrals and ancillary issues, works with internal departments for timely services, disseminates chart information, anticipates needs and facilitates solutions, and oversees triage of referrals. Indirect Patient Care – Supports clinical program operations, maintains accurate records, facilitates billing coordination for various services, and contributes to positive outcomes for patients and families. Data Management and Education Support – Creates and maintains databases, executes database queries, tracks metrics and data trends, coordinates collection of data for process improvement and research, creates and runs management reports, supports education offerings, maintains curriculum consistency, and assists with competency requirements. JOB QUALIFICATIONS High school diploma or equivalent. 3+ years of work experience in a related discipline.
