Payroll Specialist - Multi-State & Union Payroll

Responsibilities This role is responsible for supporting the accurate and timely processing of multi-entity payroll and related payroll activities in compliance with applicable labor laws, union agreements, tax regulations, and internal company policies. The ideal candidate will bring strong attention to detail, excellent organizational skills, and the ability to manage complex payroll functions while maintaining a high level of confidentiality and professionalism. Process weekly multi-state payroll for union and non-union employees with accuracy and timeliness Ensure payroll activities comply with labor laws, tax regulations, union agreements, and company policies Review timekeeping, earnings, deductions, overtime, and special pay calculations for accuracy Support payroll tax filings, garnishments, and required remittances to third-party agencies Prepare payroll reports for leadership, audits, and financial planning purposes Maintain accurate payroll records and employee data within payroll systems Assist with year-end payroll activities, including W-2 preparation and related reporting Respond to payroll discrepancies and employee inquiries in a timely, professional manner Support internal and external payroll audits by providing documentation and resolving issues Handle certified payroll and other specialized reporting requirements as needed Requirements Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred Construction, union payroll, and certified payroll experience highly preferred Practical payroll experience required Experience processing multi-state payroll strongly preferred Knowledge of payroll tax regulations and compliance requirements preferred Proficiency with payroll systems; Vista experience is a plus Strong organizational, analytical, and problem-solving skills Ability to manage multiple priorities in a fast-paced environment Excellent attention to detail and communication skills Benefits The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law.
