Legal Administrative Assistant - Immigration

As a Legal Administrative Assistant in our Immigration Service Line, you’ll play a key part in supporting our immigration attorneys and paralegals in preparing, filing and tracking employment-based immigration petitions and applications. We’re looking for a professional with 3+ years of legal administrative or immigration experience who thrives in a dynamic environment. The ideal candidate is highly organized and brings a strong work ethic along with sharp problem-solving skills. Where You’ll Work The Legal Administrative Assistant is an hourly non-exempt position and will work full-time from our Tampa, Florida office. What You’ll Do Support attorneys and paralegals in preparing, filing, and tracking employment-based immigration petitions and applications. Manage case files, matter setup, deadlines, status updates, and electronic records from intake through completion. Collect, organize, and maintain client, employer, and case documentation within the firm's case-management system. Prepare USCIS and DOL filings, including petition finalization, check requests, shipping labels, and filing coordination. Communicate with clients, employers, HR representatives, government agencies, and other stakeholders regarding case matters. Track case progress, including receipts, approvals, RFEs, and other immigration-related developments. Draft, proofread, and process correspondence and legal documents, ensuring accuracy and professionalism. Coordinate document requests, signatures, meetings, consultations, and attorney/paralegal calendars. Manage attorney time entry, client billing, mail processing, reimbursements, and other administrative functions. Provide general case-management and administrative support to the immigration team.
