Salary Range: $65,000–$67,000 annually

Position Summary

PFI Instore is seeking a detail-oriented, highly organized, and confidential HR Generalist/Executive Support to support daily human resources operations and temporary staffing needs across multiple locations. Responsibilities include benefits invoice reconciliation, timecard management, onboarding, recruiting, HRIS administration, employee file maintenance, OSHA 300 reporting, new hire orientation, and temporary staffing coordination. This position provides comprehensive administrative and executive support, including travel planning, calendar management, and coordination of key priorities.

The ideal candidate is professional, dependable, adaptable, and comfortable balancing multiple priorities in a fast-paced, on-site environment.

Key Responsibilities

• HR Administration: Maintain accurate employee files, personnel records, HRIS data, and confidential documentation.
• Temporary Staffing Support: Assist with coordinating temporary labor, communicating  staffing needs, tracking assignments, monitoring attendance and timecards, supporting temporary worker onboarding, and serving as a liaison between  staffing agencies, supervisors, and HR.
• Payroll & Benefits: Manage timecard processes, reconcile benefits invoices, research discrepancies, and attend biweekly payroll meetings.
• Recruiting & Onboarding: Assist with job postings, candidate scheduling, interview coordination, hiring documentation, onboarding, and new hire orientation for employees and temporary staff.
• Compliance & Reporting: Support OSHA 300 log reporting, maintain required HR documentation, and assist with compliance-related administrative tasks.
• Administrative & Executive Support: Maintain calendars, coordinate meetings, use Microsoft Teams for communication, and provide select executive assistant support as needed.
• Meetings & Communication: Attend weekly HR meetings and biweekly payroll meetings, track follow-up items, and communicate professionally with employees, management, and staffing partners.
• Multi-Site Support: Float between the Logistics Center, Missouri Bottom, and Park 370 locations in Hazelwood, Missouri. Provide scheduled coverage at the Owensville, Missouri location, approximately 1.5 hours from St. Louis.
• Office Operations: Perform frequent standing, scanning, filing, document handling, and other hands-on administrative duties.

Qualifications

• Bachelor’s degree in Human Resources, Business Administration, or a related field. (preferred)
• 2–4  years of HR or related administrative experience, including employee file maintenance.
• Experience or familiarity with temporary staffing coordination, staffing agencies, or workforce scheduling preferred.
• Familiarity with HRIS platforms, timekeeping systems, benefits administration, and  recruiting processes.
• OSHA  300 reporting experience preferred.
• Proficiency with Microsoft Office and Microsoft Teams.
• Excellent organizational skills, attention to detail, and ability to manage competing priorities.
• Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive employee and company information.
• Professional communication and interpersonal skills.
• Willingness  to travel between assigned company locations and provide scheduled coverage in Owensville, Missouri.

Physical & Work Environment Requirements

This is an on-site position requiring regular interaction with employees, temporary staff, staffing agencies, and company leadership. Duties include extended periods of standing, frequent scanning and filing, and handling physical employee records. The successful candidate must be comfortable balancing administrative responsibilities with hands-on HR and staffing support.

Compensation

Annual salary: $65,000–$67,000, based on qualifications and experience.
