About the Position The Intake Support Specialist serves as one of the first points of contact for prospective clients and referral partners. This role plays a vital part in creating a positive first impression by providing knowledgeable information about Fedelta Home Care's services while delivering exceptional customer service. The Intake Support Specialist supports daily intake operations by managing inbound communications, maintaining accurate prospect information, coordinating assessments, and partnering with internal teams to ensure a seamless client experience from initial inquiry through the start of care. Essential Duties and Responsibilities Provide phone support alongside the Intake Specialist by answering incoming intake calls and assisting prospective clients and referral partners. Respond to inquiries through phone, email, text messaging, social media, and other communication platforms. Educate prospective clients and families on Fedelta Home Care services and answer questions regarding care options. Gather accurate client information and enter all prospect data into WellSky, ClearCare, CRM platforms, or other company systems. Review the intake pipeline daily and follow up with prospective clients to assess continued interest in services. Maintain accurate and timely documentation within CRM and client management systems. Build strong relationships with prospective clients, families, referral partners, and community resources. Schedule in-home assessments with Home Care Supervisors and In-Home Care Managers. Collaborate with clinical and operations teams to ensure a smooth transition from inquiry to admission. Update client records with assessment information received from supervisors and managers. Monitor intake activity and prepare reports reflecting pipeline trends and conversion metrics. Maintain strict confidentiality while adhering to HIPAA privacy regulations. Deliver exceptional customer service through professional, timely, and compassionate communication. Assist with additional administrative and intake-related projects as assigned. Schedule Monday - Friday 8:00 am to 5:00 pm ( In-Office Northgate or Federal Way) Compensation $24.00-$27.00 per hour , depending on experience, qualifications, and demonstrated skills. Supervisory Responsibilities This position has no direct supervisory responsibilities. Questions or matters outside the scope of the role are referred to the Intake Manager or appropriate leadership. Education and Experience High school diploma or equivalent required. Associate degree in Marketing, Communications, Business Administration, Healthcare Administration, or a related field is preferred. Minimum of two (2) years of experience in customer service, intake, healthcare administration, sales, marketing, or client services. Previous experience in home care, healthcare, or medical office settings is strongly preferred. Equivalent combinations of education, training, and experience will be considered. Certificates, Licenses, or Registrations Must successfully complete all pre‑employment and ongoing background checks. Valid driver's license and reliable transportation preferred Computer Skills Candidates should demonstrate proficiency with: Microsoft Office Suite (Word, Excel, Outlook) Microsoft Teams Adobe Acrobat CRM or customer relationship management software Electronic health record systems such as WellSky Personal Care or similar platforms General office technology and communication platforms Experience with digital marketing tools is a plus.
