Job Title: Facilities Coordinator Job Description

The Facilities Coordinator plays a crucial role in supporting the regional team with various desk-oriented tasks that facilitate smooth operations. This fully on-site position from 8:00 am to 5:00 pm involves managing service contracts and purchase orders, ordering supplies, coordinating vendor and internal meetings, and documenting facility conditions. The Facilities Coordinator will contribute significantly to maintaining the standards of furniture, carpet, fabrics, and finishes, as well as ensuring compliance with Fire Life Safety regulations.

Responsibilities

• Assist Facility Managers with incident response by disseminating communication using standard protocols.

• Aid Facility Managers in site inspections and follow-ups, coordinating contract-purchase order paperwork.

• Generate annual compliance letters to Landlords regarding Fire Life Safety regulations, ensuring receipt and team reporting.

• Create materials for new site activation, such as welcome packets, and organize project paperwork and cost tracking.

• Support management of furniture inventory and coordinate ICRA/PCRA documentation.

• Ensure financial management at the purchase order level by collaborating with Facility Managers and Business Managers.

• Update databases with information on customers, suppliers, and landlords, and collaborate with Lease Administration.

• Handle event coordination, including town halls, HR events, and Campus Council, with appropriate documentation and follow-up.

• Review documentation for completeness according to standard work.

• Document and generate reports from data electronic systems.

• Manage, update, and report on the status of the work order calendar.

• Collaborate with Director and Facility Managers on financial analysis, forecasting, and need assessments.

Essential Skills

• High School Diploma or GED.

• Minimum of 1 year of related work experience.

• Proficiency in Microsoft Office Suite applications.

• Knowledge of general practices, program, and administrative specialty.

• Understanding of project management principles and practices.

• Ability to take initiative and independently plan, organize, and coordinate work.

Additional Skills & Qualifications

• Skills in customer service and vendor management.

• Understanding of facilities management, plumbing, electrical, HVAC, repair, and facility management.

• Proficiency in painting, mechanical work, troubleshooting, preventive maintenance, project management, cleaning, carpentry, building maintenance, hand tools.

Job Type & Location

This is a Contract position based out of Stanford, CA.

Pay and Benefits

The pay range for this position is $32.33 - $43.38/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
