The Charles Nedder Team is seeking a highly organized, proactive, and personable Client Care Coordinator to join our Greenwich office.

This is a key client-facing position for someone who enjoys working with people, staying organized, following up, and making sure nothing falls through the cracks.

You’ll work closely with our agents, buyers, sellers, and prospective clients to help manage relationships throughout the real estate process—from the first conversation through appointments, transactions, closing, and beyond.

The ideal candidate is a strong communicator who is comfortable on the phone, enjoys building relationships, and takes pride in providing an exceptional level of service.

What You’ll Do

• Communicate regularly with buyers, sellers, prospective clients, and past clients.

• Make proactive follow-up calls to nurture relationships and identify opportunities to help clients move forward.

• Schedule and confirm buyer consultations, listing appointments, property showings, inspections, and other client meetings.

• Keep clients informed and engaged throughout the buying and selling process.

• Work closely with agents to ensure leads and prospective clients receive timely, professional follow-up.

• Help buyers and sellers navigate the next steps required to move from initial interest toward a successful transaction.

• Coordinate transaction details, including inspections, appraisals, vendors, documentation, deadlines, and closings.

• Maintain accurate client information, notes, tasks, and follow-up plans within our CRM.

• Prepare and organize contracts, disclosures, and transaction-related documentation.

• Assist with client appreciation initiatives, events, marketing campaigns, and ongoing relationship management.

• Identify ways to improve systems, communication, and the overall client experience.

Compensation:

$18 - hourly

Responsibilities:

• Enforce compliance with legal and tax withholding processes
• Schedule necessary appointments with all parties, including open houses and the final walkthrough
• Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
• Notify transaction participants when a deadline is approaching
• Take part in employee development programs to strengthen existing skill sets in real estate administration

• Respond to all inquiries in a timely manner.
• Review CRM follow-up tasks.
• Log all communication notes.
• Track pipeline dashboard (contacts - appts - conversions).

Qualifications:

• Weekend and evening availability
• Has knowledge of Microsoft Office and customer relationship management software
• Excellent written and verbal communication skills
• Candidates are required to have a high school diploma or GED
• Either already has or is working towards real estate license

Preferred Qualifications

• Experience in real estate, transaction coordination, customer service, hospitality, executive assistance, project coordination, or office administration.

• Experience with CRM systems and Microsoft Office or Google Workspace.

• A real estate license is required.
