Project Coordinator

This position will be responsible for identifying, securing and executing all billable work for the Service Department categorized under Open Order and Major Repairs. This position ensures that customers’ concerns are addressed in a timely manner and identifies opportunities for billable work, in-coordination with the service manager. Process opportunities provided by field teams/office coordinators and identify billable work. Analyze current customer service history to identify opportunities for open order work. Conduct on-site survey on existing equipment for potential billable work opportunity Provide customers with quotes and proposals for open order work. Ensure receipt of signed contracts and process into the system Identify materials and manpower required for each job and plan completion of the work based on availability of both. Prepare purchase orders for materials and place orders with vendors. Track material orders, shipment progress and ensure safe delivery and storage of materials. Schedule technicians to complete the proposed project work Review time tickets for payroll processing Proactively contact customers for feedback on elevator repair work Provide weekly status updates on new and in-progress projects to Service Manager Assist the Service Manager to achieve maximum efficiency of the service department. Performs all responsibilities in accordance with PEC policies, procedures, and performance expectations. Other Duties This position is based in the Potomac Elevator Company office premises and requires physical presence in the office during the work hours The responsibilities of the position may change as per the requirements of the company. The candidate is expected to adapt to the needs and perform other duties as required. This includes serving as backup for other support staff when needed. Required Qualifications High school diploma and demonstrated coursework toward an Associate’s or Bachelor’s degree in a related discipline (e.g., business administration, office administration), or equivalent work experience. A PMP certification or Bachelor’s degree is highly desired. Five years of relevant work experience, in a commercial business setting or similar work environment. Ability to work independently and manage multiple priorities in a fast-paced work environment with time-sensitive deadlines. Familiarity with dispatching and maintenance coordination. Demonstrated knowledge of general office operations, and ability to read and understand general business and technical information. Strong interpersonal skills, with the ability to build and foster working relationships and be an effective team member. Organization, time management, math skills, and a demonstrated attention-to-detail. A strong work ethic and can-do attitude along with a propensity to learn quickly and be proactive and self-motivated in the execution and completion of work. Exceptional customer service skills with the ability to manage a high-volume of customers in a responsive/respectful manner while demonstrating high standards of tact and diplomacy.
