Schedule: Monday-Friday 8:30am - 5pm

Pay: $50,000 - $60,000 annually

We are looking for a customer-focused, organized, and dependable Customer Service Representative to join our team and serve as an important link between our customers, sales team, and internal operations.

Position Summary

The Customer Service Representative serves as a primary point of contact for customers and sales representatives, providing timely and professional support throughout the order process. This position is responsible for managing customer inquiries, processing orders, coordinating shipping requirements, and working closely with production, warehouse, and shipping teams to ensure orders are completed accurately and delivered on time.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities while maintaining positive relationships with both customers and internal teams.

Key Responsibilities

• Serve as the primary point of contact for customers and sales representatives via phone and email, responding promptly and professionally to inquiries.
• Provide product information, answer questions regarding products and services, and assist with general customer concerns.
• Create and process purchase orders, ensuring accuracy, completeness, and proper documentation.
• Oversee, delegate, and monitor shipping requirements for each order in coordination with the appropriate departments to ensure timely delivery and a high level of customer satisfaction.
• Manage and process freight estimates to ensure accurate and cost-effective shipping arrangements for customer orders.
• Receive, review, and process sample requests while coordinating internally with the appropriate team responsible for fulfilling those requests.
• Maintain accurate customer records, order histories, and communication logs within company systems.
• Create and distribute customer invoicing on a daily basis and generate debit/credit memos as needed.
• Coordinate with production, warehouse, and shipping teams to resolve order issues, address customer needs, and track shipments.
• Escalate complex customer issues or concerns to management or the appropriate department as needed.
• Support the sales team with administrative tasks related to customer accounts, orders, and other customer needs.
• Identify opportunities to improve customer service processes and assist with implementing efficiency improvements.
• Build and maintain positive working relationships with customers, sales representatives, and internal departments to promote effective communication and collaboration.
• Assist with additional customer service responsibilities, projects, and departmental needs as assigned.

Qualifications

• Previous customer service, order management, sales support, or related experience preferred.
• Strong verbal and written communication skills.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple orders, requests, and priorities simultaneously.
• Strong problem-solving skills and the ability to follow issues through to resolution.
• Comfortable communicating with customers, sales representatives, and internal departments.
• Proficient with Microsoft Office and comfortable learning new software and systems.
• Ability to work independently while also functioning effectively as part of a team.
• Professional, dependable, and customer-focused approach.
