Administrative Medical Office Lead | Certified Medical Assistant

Job Summary: This role involves organizing, coordinating, and supervising activities related to physician practice secretaries and Medical Assistants. Acting as a key resource in the absence of the Practice Coordinator or as assigned by leadership, the position ensures smooth front and back office operations, maintaining excellent patient service and efficient practice functionality. Essential Responsibilities: Front Office Duties: Manage typing, copying, and creation of forms and reports, ensuring timely and accurate communication. Complete correspondence by scheduled deadlines and handle phone communications, including voicemail retrieval and physician paging. Maintain front office phone coverage and manage filing of patient and non-patient documents. Provide feedback to improve front office efficiency and proficiency in electronic medical record (EMR) systems. Clinical Patient Care Duties (Medical Assistant or LPN): Deliver direct patient care and triage calls, providing reassurance and accurate guidance. Ensure smooth healthcare service delivery during patient visits, including vital signs collection and medical record documentation. Assist physicians with testing, treatments, minor surgeries, and patient education. Manage medication samples, referrals, test results, and consent for procedures. Perform laboratory tests and maintain lab logs as required. Administrative Responsibilities: Oversee daily operations of secretaries, receptionists, and Medical Assistants across multiple locations. Represent the department in public relations, committees, and educational events. Manage staffing, scheduling, operations, and training with support from the practice coordinator. Maintain safe operation of equipment and coordinate repairs. Plan and implement educational and staff development programs. Prepare departmental records, reports, policies, and assist with performance reviews. Education and Experience: Associate degree or equivalent required; candidates pursuing a bachelor's degree with at least two years completed coursework may be considered. Graduation from an accredited Medical Assistant or Nursing (LPN) program required or enrollment within one year with completion within three years of hire. Minimum of 5 years' experience as a secretary, receptionist, or Medical Assistant. Work Shift: First shift, 40 hours per week.
