Sales Administrative Assistant

$25.58 per hour

Position: Sales Office Administrator Location: Greer, SC Hourly Rate: $25.58 Schedule: day shift The sales administrative position provides administrative support to the sales, customer service, and engineering teams located in and working in connection to the Greer sales office location. The primary focus of this position is administrative and office management tasks, with some order management duties related to ship confirm processes. Essential Accountabilities Answering and distributing incoming calls. Keeping track of in/out board including visitors. Sending, receiving & distributing mail & packages. Maintaining closed order files – creating new files, moving files, and purging files at year end. Purchasing office and break room supplies from Coupa. Checking, putting away, and receiving delivered items in Coupa. Ordering supplies from UPS (pouches & packages), Ricoh (ink cartridges), and USPS (postage). Coordinating office marketing materials, brochures, and random drug test contact. Contacting the plant manager to report building problems and submit maintenance requests. Keeping kitchen supplies stocked, emptying the recycle bin, and maintaining the Keurig machine. Paying invoices for Iron Mountain (paper shredding services) and Johnson Controls (security system). Assisting CSR clerical needs: Validating orders by reviewing and matching purchase orders with sales orders. Sending payment links to customers who pay by credit card. Retrieving receipts after payment and submitting them in TermSync. Requesting invoices, shipping documents, tracking, etc. Creating orders for Saint‑Gobain in the Allstate Moving System’s shipping portal. Assisting Sales department: Arranging and picking up lunch, making copies, and assisting with sales meetings. Shipping product samples and preparing commercial invoices for international shipments and customer‑scheduled pickups. Checking freight terms before ship‑confirming; adding freight cost when terms are FREIGHT BEST. Ship‑confirming all orders in Oracle, adding freight charges, fuel surcharges, and freight carrier information. Emailing shipping documents as required and validating invoices in Esker before 11am. Attaching credit card receipts and requested shipping documents. Checking shipping documents against the Closed Order Report and filing orders in the closed order file. Running Pending Shipments reports before month‑end closing to ensure all shipped orders are billed and marking billing as closed. Performing other duties as requested by the Supervisor and any other assigned duties. Requirements High level of integrity, trust, and ethical standards. Good written and verbal communication skills. Ability to maintain composure. Ability to multitask and manage multiple priorities. Motivation and high attention to detail. Computer literacy and willingness to learn (Word, Excel, Access, Kronos, Workday).
