About the Role

We’re hiring a detail-driven Transportation Coordinator to support the day-to-day transportation back office. This is a data-focused role responsible for ensuring every load in the company’s transportation management system (TMS) is entered correctly, completely, and on time—from booking through billing.

The ideal candidate takes pride in maintaining accurate records, catches small errors before they become larger problems, and is comfortable being the go-to person for verifying information and resolving discrepancies.

You’ll work closely with the Dispatcher and Dispatch Support team in a fast-paced transportation environment. This position will play an important role in maintaining organized, centralized, and accurate transportation records.

What You’ll Do

Load Entry & Verification – Primary Focus

• Enter new loads into the Alvys TMS from rate confirmations, customer tenders, EDI, and load boards.
• Verify load records for accuracy, including shipper and receiver information, pickup and delivery windows, reference and PO numbers, commodity, weight, equipment type, rates, and accessorials.
• Audit existing load entries and correct discrepancies before they reach dispatch or billing.
• Attach and organize required documents, including rate confirmations, BOLs, PODs, lumper receipts, and scale tickets.
• Update load statuses and milestones as local, shuttle, and over-the-road (OTR) loads progress.
• Ensure transportation and inter-facility transfer loads are entered and tracked consistently.

Back-Office & Administrative Support

• Maintain accurate customer, carrier, driver, and location records in the TMS.
• Identify missing paperwork and follow up with drivers, dispatch, and customers to obtain required documentation.
• Support accounting by ensuring loads are invoice-ready, with complete documentation, accurate rates, and no unresolved discrepancies.
• Assist with weekly driver pay preparation by verifying completed loads and mileage in the TMS.
• Help maintain driver and carrier compliance files, including insurance certificates, W-9s, contractor agreements, and DOT documentation.
• Generate routine transportation reports, including open loads, missing PODs, data exceptions, and on-time performance.
• Answer and route incoming calls and emails related to load status, documentation, and transportation inquiries.
• Assist with other administrative and transportation-related tasks as assigned.

What We’re Looking For

Required Qualifications

• 1+ year of administrative, data entry, or office experience.
• Transportation, logistics, dispatch, or warehouse office experience strongly preferred.
• Exceptional attention to detail and accuracy.
• Ability to double-check work and identify data discrepancies.
• Fast and accurate typing skills.
• Comfortable working in web-based software and computer systems throughout the workday.
• Proficiency with Microsoft Excel, Google Sheets, Outlook/Gmail, and general office applications.
• Strong written and verbal communication skills.
• Ability to prioritize and stay organized while handling a high volume of loads.
• Reliable, punctual, and comfortable working on-site in North Las Vegas.

Preferred Qualifications

• Hands-on experience with Alvys or another transportation management system (TMS), such as McLeod, TMW, Revenova, Turvo, or similar platforms.
• Familiarity with freight and transportation documentation, including rate confirmations, BOLs, and PODs.
• Understanding of basic transportation and logistics terminology.
• Experience supporting billing, accounts receivable, or driver payroll.
• Bilingual English/Spanish or English/Polish is a plus.
