- Performance reviews will be conducted by HR and Regional Compliance Director
Major Duties:
- Supervise onsite property administrative staff, including monitoring attendance and work performance.
- Provide staff with compliance guidance, time management support, and hands-on assistance to sites as needed and training.
- Conduct monthly Month End Closings using RealPage software. Monitor Month End property reports and update Real Page software data as needed.
- Assist in preparation and update property Tenant Selection Plans /Property Criteria as needed.
- Manage move-out dispositions, FAS revisions and write-off requests, former tenant re-payment collections, ledger adjustments which include ledger corrections, and reversals, re-payment agreements.
- Monitor property delinquency and prepaids
- Monitor and review resident notices (violation to lease, balance due) and legal notices (violation to lease, balance due).
- Handle Financial (IPA) and HUD federal compliance inspections, reporting, corrections and responses.
- Monitor, review and approve/ deny move-in files, recertification, transfers and interim certifications.
- Assist preparation and revisions of leases and update all compliance forms as needed.
- Assist in implementing new policies and procedures for the compliance department which adhere to city/ state requirements. (504 Fair housing, VAWA, HUD regulations)
- Conduct monthly site visits, including monthly performance reviews, working with onsite staff on operational and compliance needs, training, assessment of staff performance, and setting monthly goals with staff.
- Provide owners with reports as requested and as needed.
- Monitor KTS cases and correspondence to all cases and see them through the entire legal process.
- Monitor unit occupancy and leasing, including marketing and outreach efforts.
- Monitor, review, and respond to appeals: 504 Fair Housing, VAWA compliance for each site.
- Monitor and review waitlist compliance and approve/deny applicants.
- Monitor property specific EIV Compliance Binders and TRACS reports- HUD Compliance
- Approve and deny reasonable accommodation/ modification.
- Collaborate with the compliance monitor on corrections needed from the HUD affordable compliance agency involved.
- Assist compliance director with implementation of rent increases annually. Staff guidance and approving increase notices.
- Assist with other compliance or site level duties as deemed necessary for the company's needs.
- Communicate directly with owners regarding on-site reporting, projects, and all requests regarding property compliance as needed.
- Assist in the development and execution of marketing strategies to maintain high occupancy rates.
- For optimal communication, it is essential to ensure that email responses are provided within 24 hours. In cases where a request may require more time to fulfill, it is crucial to acknowledge the receipt of the email and provide an anticipated timeline for completion or follow-up. This approach will help us maintain efficient and effective communication.
- Corporate Staff Calendar: Compliance/Regionals must provide their location and scheduled dates for their monthly site visits on the corporate staff calendar. Scheduled site visits must be planned for the upcoming month to ensure that upper management is aware and onsite staff have enough time to prepare for compliance visits.
Education
Must have the equivalent of a high school diploma.
Prefer ARM, CPO or HCCP, NCP designation.
Experience
Must have a minimum of five years of experience in an office doing Compliance, record keeping, customer relations and supervisory position.
Skill
Must speak and write in English.
Must have legible penmanship and excellent correspondence skills. Must be able to fill out forms and other paperwork.
Must be able to work with figures and make income calculations. Must be able to use a ten-key adding machine and/or calculator. Must have accurate typing skills.
Must know how to operate a fax machine and copy machine.
Must have good customer service skills and be able to resolve resident situations or problems.
Must have supervisory skills in order to direct employees. Must be computer literate or willing to be trained.
Must have the self-motivation to set and accomplish goals for yourself and your team. Must have the flexibility to handle many tasks.
Physical Requirements
Hearing: Must be sufficient to understand conversation at a normal volume and to communicate with residents and employees.
Vision: Must be sufficient to read reports, instructions, labels, etc.
Manual Dexterity: Must be sufficient to operate office machines and write memos. Physical: Must be able to bend, climb stairs, and walk around apartment complex to inspect apartments and grounds if necessary.
Mobility: Must be able to get from property to main office for training and meetings.
Stress: Must be able to handle stress and meet deadlines.
Legal: Bondable.
Equipment
Must furnish your own vehicle to perform outreach and other marketing; attend company meetings, training or other company-related activities; and perform other duties as necessary.
