Front Office Assistant

Position Summary
The Front Office Assistant serves as the first point of contact for the organization and plays a vital role in supporting daily operations. This position provides administrative, clerical, and customer service support in a mission-driven, non-profit environment. The ideal candidate is friendly, organized, detail-oriented, and committed to supporting the organization’s mission and community.
Key Responsibilities
Front Desk & Client Support
- Greet and assist visitors, clients, donors, and volunteers in a professional and welcoming manner
- Answer and direct phone calls, emails, and general inquiries
- Provide basic information about programs, services, and events
Administrative Support
- Perform general office duties including filing, data entry, copying, scanning, and mail distribution
- Maintain organized physical and digital filing system
- Schedule appointments and manage calendars as needed
- Assist with preparing correspondence, reports, and forms for leadership staff
Data & Records Management
- Enter and update client, donor, or program data accurately
- Maintain confidentiality of sensitive information
- Support compliance with organizational policies and procedures
Operations & Coordination
- Assist with inventory and ordering of office supplies
- Support meetings, workshops, and events (setup, sign-in sheets, materials)
- Coordinate with staff, volunteers, and external partners as needed
Qualifications
- 2 years or more of college business courses or equivalent
- Strong verbal and written communication skills
- 1–2 years of administrative, front desk, or office experience
- Strong interpersonal and customer service skills
- Proficiency in Microsoft Office or Google Workspace
- Familiarity with CRM systems; experience with donor or client databases is a plus
