Job Title: Operations Systems Consultant to Part-Time Operations & Program Manager Phase 1: Independent Contractor | Phase 2: Part-Time W-2 Employee About the Opportunity Our grassroots nonprofit is seeking a proactive, organized, and systems-minded professional to support our next stage of operational growth. This opportunity begins as a short-term Operations Systems Consultant project from July 1–August 31, 2026 , with the intent to transition into a part-time W-2 Operations & Program Manager position beginning September 1, 2026 , contingent upon funding, fit, performance, and organizational needs. The ideal candidate is someone who can assess informal workflows, identify gaps, build practical systems, and support a trauma-informed, prevention-focused organization as it grows. Phase 1: Operations Systems Consultant Timeline: July 1–August 31, 2026 Status: Independent Contractor Rate: $25.40/hour Estimated Hours: Up to 25 hours per week During the consultant phase, the focus will be on project-based systems setup and operational planning. Key deliverables may include: Reviewing current workflows, tracking systems, and operational gaps. Recommending a project management platform such as Asana, Monday.com, or a similar tool. Building draft tools for task tracking, program timelines, contractor scheduling, inventory, and prevention grant deliverables. Creating a prevention grant compliance calendar template. Drafting standard operating procedures (SOPs) for assigned workflows. Providing an implementation plan to support the September transition into ongoing operations. Phase 2: Part-Time Operations & Program Manager Timeline: September 1, 2026–August 31, 2027 Status: Part-Time W-2 Employee Rate: $25.40/hour Schedule: 25 hours per week Upon transition to the W-2 role, the Operations & Program Manager will support the CEO by strengthening day-to-day operational coordination. Responsibilities will include: Coordinating staff, contractors, volunteers, interns, and program support roles connected to assigned programs. Supporting prevention grant compliance tracking and program deliverable documentation. Maintaining project management systems, timelines, calendars, and SOPs. Partnering with the Program Development Administrator on program documentation, data tracking, survey collection, and reporting support. Supporting contractor scheduling, onboarding coordination, and follow-up on assigned deliverables. Preparing high-level updates for CEO meetings, including progress, risks, gaps, and recommended next steps. Supporting trauma-informed communication, accountability, and follow-through across assigned programs. Qualifications Bachelor’s degree required, or equivalent experience. At least 3 years of experience in operations, project coordination, nonprofit administration, program management, or a related field. Experience building or improving systems, workflows, calendars, tracking tools, or project management processes. Strong communication, organization, follow-through, and attention to detail. Experience with Microsoft Teams, Canva, Google Workspace, Excel, and/or similar platforms. Ability to work in a growing grassroots nonprofit environment where systems are still being built. Ability to lead with consistency, accountability, and a trauma-informed approach. Preferred Strengths Master’s degree preferred. Nonprofit, prevention, youth development, mental health, school-based, or community-based program experience preferred. Experience with Asana, Monday.com, or similar project management tools preferred. Working knowledge of basic HR practices, staff onboarding, supervision, performance follow-up, and documentation preferred. Experience supporting grant deliverables, program documentation, reporting timelines, or compliance tracking preferred.
