Senior Compliance Administrator

This fully remote role provides critical administrative and operational support across a growing Compliance function. You will help maintain the regulatory infrastructure that enables the organization to operate effectively across multiple jurisdictions. The position combines regulatory administration, licensing, governance, audit readiness, and issue management. You will own deadline-driven processes where accuracy, organization, and proactive escalation are essential. Working closely with Legal, Finance, Information Security, Privacy, Operations, and business leaders, you will help ensure regulatory obligations are consistently met. Reporting to the Chief Compliance Officer, you will play an important role in keeping compliance processes structured, transparent, and continuously audit-ready.

Accountabilities:

• Own the enterprise regulatory calendar, including filing deadlines, license renewals, committee meetings, regulatory exams, and training requirements, while establishing advance-notice processes and escalating potential risks before deadlines are missed.
• Serve as the primary internal contact for third-party licensing and Secretary of State vendors, coordinating documentation, tracking submissions through approval, and resolving deficiency notices.
• Maintain an independent state-by-state record of licenses, registrations, expiration dates, identification numbers, and fees to independently verify vendor activity and deliverables.
• Manage responsible-person and producer designations while monitoring external providers against agreed deadlines and service expectations.
• Provide end-to-end administrative support for the Compliance Committee and its subcommittees, including scheduling, agendas, meeting materials, minutes, action tracking, and decision logs.
• Maintain committee charters, membership rosters, and work plans, and prepare executive-level reporting packages for senior leadership and Board-level oversight.
• Prepare and submit Compliance-owned regulatory filings, maintain repeatable filing procedures, and reconcile completed submissions against required obligations.
• Manage the centralized Compliance intake process by logging, triaging, routing, monitoring, and closing incoming matters, while supporting incident management in partnership with Privacy and Information Security.
• Produce reporting on intake and incident volumes, aging, closure rates, and emerging compliance themes.
• Support regulatory change management by recording regulatory alerts and rule changes, coordinating impact assessments, and tracking related implementation activities.
• Coordinate external regulatory audits and market conduct examinations, including document requests, evidence gathering, response tracking, and remediation through completion.
• Maintain organized, audit-ready documentation and evidence across compliance activities so records are continuously available rather than reconstructed under deadline pressure.

Requirements:

• 5+ years of experience in compliance, regulatory operations, insurance licensing, legal operations, or a comparable administrative and operational role within a regulated industry.
• Demonstrated experience owning deadline-driven regulatory processes where missed deadlines can have significant external consequences, with sound judgment when handling confidential and sensitive information.
• 5+ years of hands-on experience with entity licensing, state registrations, or comparable regulatory processes.
• 5+ years of experience working with outsourced service providers or other independent internal/external partners, including reviewing deliverables, monitoring deadlines, and maintaining independent internal records.
• 5+ years of experience supporting formal governance or committee processes, including preparing agendas, documenting minutes, and tracking action items.
• 5+ years of strong document and records management experience, with excellent attention to version control, accuracy, and audit-quality documentation.
• At least 2 years of advanced experience with Microsoft 365 and/or Google Workspace, with the ability to build practical trackers and straightforward reporting independently.
• Experience working in health insurance, third-party administration, ICHRA, or health benefits administration is a plus.
• Working knowledge of HIPAA Privacy and Security, ACA, and ERISA as they relate to benefits administration is an advantage.
• Familiarity with governance, risk, and compliance platforms, contract lifecycle management systems, or electronic signature workflows is beneficial.
• Experience supporting market conduct examinations, SOC audits, or comparable third-party assessments is a plus.
• Relevant certifications such as CCEP, CHC, CIPP/US, or an insurance licensing designation are valued.
• Strong organizational skills, attention to detail, accountability, proactive communication, and the ability to identify and escalate risks early.
