People Operations Specialist

The People Operations Specialist supports key People & Culture functions, including leave of absence administration, onboarding, workers' compensation coordination, HR compliance, employee records management, training support, HR systems maintenance, and employee support services. This role serves as a primary resource for day-to-day HR operations, managing assigned programs independently while partnering with People & Culture leadership on complex employee relations, legal, and policy matters. Compensation: $72,000–$75,000 annually. Compensation may vary based on experience, skills, and location. Responsibilities Leave of Absence Administration Administer employee leave programs, including intake, documentation tracking, employee communications, return-to-work coordination, and case management. Maintain leave records, timelines, certification deadlines, and compliance documentation. Coordinate with HR leadership regarding benefits continuation, accommodations, and complex leave matters. Escalate issues involving ADA/FEHA accommodations, overlapping leave rights, employee relations concerns, or compliance risks. Onboarding & Offboarding Coordinate onboarding activities from pre-boarding through new hire readiness, including orientation scheduling, system access, equipment requests, and training coordination. Partner with Payroll, IT, Credentialing, hiring managers, and operational leaders to ensure successful onboarding. Serve as a primary point of contact for new hires and managers during onboarding. Manage employee offboarding processes, including separation checklists, equipment returns, system access removal, exit surveys, and final payroll coordination. HR Operations & Employee Support Manage the HR support inbox, responding to and routing employee inquiries while ensuring timely resolution. Provide guidance on HR policies, onboarding, leave processes, training requirements, and HR systems. Process employment verification requests and coordinate unemployment (EDD) claim responses. Track open HR issues and ensure appropriate follow-up and escalation. Identify opportunities to improve employee communications, workflows, and self-service resources. Compliance, Records & Audit Support Maintain personnel records, policy acknowledgments, document retention processes, and labor law posting compliance. Support HR audits, including personnel file reviews, I-9 audits, workers' compensation audits, and document retention reviews. Assist with legal and records requests under the direction of HR leadership. Ensure confidentiality and proper handling of employee and company records. Workers' Compensation Administration Coordinate workers' compensation claims, including incident reporting, claim documentation, carrier communications, and return-to-work tracking. Monitor claim timelines, work restrictions, and required follow-up activities. Escalate complex claims, accommodation concerns, litigation risks, or disputed cases as appropriate. HR Systems & Process Improvement Maintain HR SharePoint resources, templates, forms, and tracking tools. Utilize Microsoft 365, SharePoint, HRIS platforms, and approved AI tools to improve operational efficiency and workflow visibility. Support process improvement initiatives through automation, documentation, reporting, and resource development. Ensure all AI-assisted work complies with confidentiality, privacy, and company standards. Training, Wellness & Employee Programs Coordinate logistics for training programs, meetings, orientations, and HR initiatives. Support training content development, attendance tracking, and compliance reporting. Assist with performance review administration and completion tracking. Coordinate employee wellness and recognition programs. Provide cross-training support for benefits administration and employee inquiries. Administrative Support Provide routine administrative support to the People & Culture team, including document management, correspondence routing, and meeting coordination. Handle sensitive information with professionalism and discretion. Qualifications 3–4 years of HR operations, HR coordinator, HR specialist, People Operations, or related HR experience required; 5+ years preferred. Experience administering leave of absence programs, onboarding, workers' compensation, employee records, compliance processes, or related HR operations. Working knowledge of FMLA, CFRA, PDL, ADA/FEHA, workers' compensation, return-to-work processes, and employee records requirements. Experience with SharePoint, Microsoft Office 365, and HRIS systems; Paylocity experience preferred. Experience utilizing AI tools to improve workflows, communications, templates, or operational efficiency preferred. Strong organizational skills, attention to detail, sound judgment, and ability to manage multiple priorities. Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information appropriately. Bachelor's degree preferred; equivalent experience will be considered. #J-18808-Ljbffr Agile Occupational Medicine
