Role Description

\n

This is a full-time on-site role for an Assistant Project Manager. The Assistant Project Manager will assist in overseeing project tasks, maintaining schedules, coordinating logistics, and ensuring compliance with project requirements. Day-to-day responsibilities include validation of applicable codes, guidelines and regulatory requirements (OSHPD/HCAi & CDPH) to obtain project approvals. Gather input at the user level to support planning efforts. Facilitation and coordination of information to outside consultants or client staff to assist key decision factors to advance project development. Responsibilities also include expediting project activities, managing logistics, and supporting project management tasks to ensure successful project delivery. The Assistant Project Manager may also be assigned overall responsibility for a smaller project where appropriate.

Key Responsibilities

• Project documentation: Maintain and distribute accurate project documentation, including project plans, status reports, and meeting minutes.
\n
• Contract administration: Support in reviewing, negotiating, and administering purchase orders / contracts with vendors and suppliers for the client through their selected project management platform
\n
• Assist with drawing plan set submissions to Authority Having Jurisdictions on behalf of the client, design team, or developer. Track plan approval status and distribute plan check comments and/or approvals to the team.
\n
• Tracking procurement, delivery, and installation activities, Loading dock coordination between FF&E vendors and project team, Vendor coordination in conjunction with stakeholders, Fit-up oversight, Equipment tracking for progress, missing pieces, punch, etc., and creating, updating & maintaining list for outstanding tasks / items per room.
\n
• Provide support to the project team by coordinating meetings, preparing presentations, taking and distributing meeting minutes, actively follow up and close out action items.
\n
• Engage with clients, consultants, and contractors to ensure effective communication and collaboration throughout the project lifecycle.
\n
• Monitor project financial performance, track expenses, and maintain accurate project budget records. Review pay applications and invoices.
\n
• Identify potential risks and develop mitigation strategies to ensure project success.

Required qualifications:

\n

\n
• Bachelor's degree in architecture, engineering, construction management and/or equivalent experience relating to construction or project management.
\n
• 4+ years of experience in similar roles within the construction industry.
\n
• 2+ years of experience on healthcare construction projects under OSHPD/HCAi jurisdiction
\n
• Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
\n
• Excellent communication and interpersonal skills, with the ability to build strong relationships with both internal and external stakeholders.
\n
• Experience with small to medium-scale projects from start through completion.
\n
• Knowledge of real estate industry best practices and construction processes.
\n
• Proficiency in project management software and tools.
\n
• Demonstrated ability to work independently and as part of a team.
\n
• Strong problem-solving skills and attention to detail.
\n

Preferred qualifications:

\n

\n
• Knowledge of pre-design and pre-construction, building systems/components and technology, contract management, project delivery methods, team building and client relationship building.
\n
• Certifications with CMAA, PMI, DBIA, or LEED
\n
• AIA or PE license
\n
• Experience with P6 Primavera or Microsoft Project

Salary Range: $120,000–$140,000 annually, commensurate with experience and qualifications.
