Marketing Coordinator

The Marketing Coordinator supports proposal development, marketing collateral production, CRM discipline, event preparation, and project close-out activities that strengthen the firm's business development and brand execution. The role is an execution and coordination role reporting to the Marketing Manager, with responsibility for maintaining accurate marketing data, preparing materials, supporting campaigns and events, and helping standardize reusable marketing assets along with assigned administrative tasks.

This is a fully onsite, PART-TIME position 20-25 hours/week.

Responsibilities

Proposal and Opportunity Support

• Support the development, assembly, formatting, and close-out of proposal responses, qualifications packages, and related submission materials.

• Coordinate proposal schedules, file organization, document version control, and final production tasks under the direction of the Marketing Manager.

• Conduct background research to support proposal content, client pursuit strategy, and opportunity qualification.

• Enter, update, and maintain proposal, opportunity, and submittal data in Salesforce and other internal tracking tools.

• Serve as backup support for proposal production and submission logistics as needed.

Marketing Collateral and Brand Support

• Draft, revise, format, and maintain brochures, project sheets, presentations, resumes, qualification packages, and other marketing collateral.

• Design and update graphics, exhibits, and visual assets in alignment with company brand standards.

• Coordinate updates to existing collateral to reflect current project experience, personnel information, service offerings, and brand direction.

• Assist with website content updates, digital asset organization, and related promotional materials.

CRM, Data, and Reporting

• Maintain accurate Salesforce records for contacts, opportunities, campaigns, and marketing activity.

• Coordinate end-to-end marketing workflows in Salesforce for events, proposal pursuits, and targeted outreach. Assist with CRM reporting, list management, dashboard support, and basic data analysis to improve marketing visibility and decision-making.

• Support the integrity, organization, and retrievability of marketing and business development data.

Trade Show, Conferences, and Promotional Support

• Coordinate attendee registrations, exhibitor logistics, schedules, shipping, and materials for trade shows, conferences, and industry events.

• Create, revise, order, and track display materials, brochures, and event collateral.

• Manage promotional item inventory and support the selection, ordering, and distribution of branded materials and giveaway items.

• Coordinate pre-event and post-event outreach support in Salesforce (e.g. campaigns) and other communication channels.

Project Close-Out and Content Capture

• Update and close opportunities in Salesforce at project completion and confirm project data accuracy.

• Assist in developing and standardizing reusable templates and workflows for project close-out and marketing content capture.

• Prepare, organize, and store project portfolios and challenge-solution-results documentation for future proposal and marketing use.

• Coordinate client survey preparation, distribution, scheduling, and follow-up tracking.

Team Support and Continuous Improvement

• Collaborate effectively with the Marketing Manager, technical staff, and other internal stakeholders to gather information and complete deliverables on time.

• Identify opportunities to improve the efficiency, consistency, and quality of marketing processes, files, templates, and workflows.

• Maintain current knowledge of relevant marketing tools, AEC marketing practices, and company brand standards.

• Perform other related duties as assigned.

Skills, Experience, and Professional Credentials

• Bachelor's degree in Marketing, Communications, Journalism, English, Business, or a related field.

• Proven writing, editing, formatting, and proofreading skills.

• Approximately 3+ years of relevant experience, preferably in the AEC industry or another deadline-driven professional services environment.

• Demonstrable proficiency in Adobe Creative Suite, especially InDesign, Photoshop, and Illustrator.

• Experience with Salesforce highly preferred; familiarity with Deltek, Google Analytics, and Microsoft SharePoint preferred.

• Core competency with Microsoft Office applications, CRM systems, and website content platforms such as WordPress.

• Advanced organizational skills and attention to detail, with the ability to manage multiple concurrent assignments.

• Ability to work effectively under multiple deadlines and follow established processes while improving them over time.

• Professional communication skills and the ability to collaborate effectively with technical and non-technical team members.
