ASSISTANT MERCHANDISER PRODUCTION COORDINATOR

Location: Union Square - New York, NY

Reports To: Inventory & Channel Operations Manager

About the Role:

This role supports the operational engine behind our product assortment. We are looking for someone who is exceptionally organized, detail obsessed, and comfortable working inside systems, spreadsheets, and supplier communication threads to keep product information accurate and moving forward.

The Item Setup & Sourcing Coordinator helps carry products from finalized design through supplier quoting, sample tracking, and item setup in our ERP. This person is not responsible for the creative direction of product development, but plays a critical role in making sure the information, documentation, and handoff to purchasing are clean, complete, and actionable.

This is a role for someone who loves process, enjoys keeping many moving pieces organized, and takes real pride in getting the details right.

Key Responsibilities:

Item Setup & Data Management

Create and maintain new item records in the ERP system

Enter product specifications, materials, dimensions, packaging details, and related data

Ensure all product information is complete, accurate, and organized

Maintain clean digital records and supporting documentation for each product

Supplier RFQ Process

Send Requests for Quote (RFQs) to approved suppliers once designs are finalized

Collect, organize, and maintain supplier price quotes and quote history

Track supplier lead times, minimum order quantities, and other key sourcing information

Help ensure costing inputs are current and clearly documented

Sample Coordination

Request development and production samples from suppliers

Track sample timelines and follow up with suppliers to keep projects moving

Coordinate internal sample review with the design team

Record feedback and communicate revisions or approvals back to suppliers

Cross-Team Coordination

Work closely with Design, Operations, Buying, and Finance to ensure information is accurate and complete

Help keep the flow of information moving smoothly between teams

Ensure all required details are in place before items move to purchasing

Product Handoff to Purchasing

Prepare finalized item records for handoff to the Buyer

Confirm approved supplier, cost, and specifications are clearly documented

Support a clean transition from item setup into purchase order creation

What You Bring:

Strong organizational and administrative skills, with exceptional attention to detail

Comfort managing spreadsheets, data systems, and product information across multiple projects

Comfort working inside ERP systems; experience with systems such as NetSuite, SAP, or Sage Intacct is a plus

Strong communication skills when working with suppliers and internal teams

A process-oriented mindset and a willingness to follow structured workflows

Compensation and Benefits:

Annual Salary: $72,000

Pay Frequency: Weekly
