Job Summary

VHC is seeking a dependable, organized, and professional Bilingual Field Administrative Support Coordinator to provide administrative support both in the office and throughout the community. This position is responsible for document management, caregiver and client paperwork, compliance tracking, records organization, and field document delivery.

The ideal candidate is fluent in English and Spanish, highly detail-oriented, trustworthy, and comfortable working independently while handling confidential employee and client information. This role requires frequent travel throughout Indianapolis, Fishers, and surrounding communities.

Primary Responsibilities

• Pick up and deliver documents to caregivers, clients, case managers, medical offices, and other approved locations.
• Obtain required signatures on employee, caregiver, and client documents.
• Scan, copy, organize, upload, and maintain electronic records in OneDrive, AxisCare, and other designated systems.
• Review paperwork for missing signatures, dates, incomplete sections, expired certifications, and compliance documents.
• Assist with caregiver and client file audits to ensure records are complete and compliant.
• Contact caregivers regarding missing employment, training, certification, licensing, or other required documentation.
• Deliver and retrieve onboarding packets, identification badges, agency forms, and other approved materials.
• Maintain accurate logs of documents delivered, received, signed, and outstanding.
• Provide administrative support, including data entry, filing, copying, mailing, and document organization.
• Protect the confidentiality of all employee, caregiver, client, and company information.
• Promptly report missing, damaged, incomplete, or confidential documents to management.
• Perform other administrative and field support duties as assigned.

Required Qualifications

• High school diploma or equivalent.
• Fluent in English and Spanish (spoken and written).
• Valid driver’s license with a good driving record.
• Reliable personal vehicle.
• Current automobile insurance.
• Ability to travel throughout Indianapolis, Fishers, and surrounding areas.
• Basic computer and smartphone proficiency.
• Experience using Microsoft Word, Outlook, OneDrive, and online document management systems.
• Excellent organizational and time-management skills.
• Strong verbal and written communication skills.
• Ability to work independently and follow detailed instructions.
• Dependable, punctual, and professional.
• Ability to maintain strict confidentiality.
• Must successfully complete all required background screenings.

Preferred Qualifications

• Previous experience in administrative support, healthcare, home care, medical office, clerical, records management, or courier services.
• Experience scanning, uploading, and organizing electronic documents.
• Experience handling confidential healthcare or employee records.
• Familiarity with AxisCare or similar home care software is preferred.

Physical & Travel Requirements

• Drive between multiple work locations throughout the workday.
• Lift and carry files, office supplies, and document packets weighing up to 20 pounds.
• Sit, stand, walk, bend, and use standard office equipment.
• Enter client homes and community locations when authorized.
