Logistics Coordinator

Summary:


The Logistics Coordinator role is responsible for organizing and managing transportation support for donors, recovery teams, STA staff, and coordinators. This includes the timely and compliant pickup and delivery of organs, tissues, blood specimens, supplies, and documentation. The role serves as a critical communication point between internal stakeholders, transplant centers, and external partners, consistently representing STA in a professional and positive manner.


Essential Job Functions and Responsibilities:

• Communication

• Receive and manage transportation requests from STA staff, coordinating both air and ground services to support the movement of medical teams, organs, specimens, and equipment.

• Communicate clearly and professionally via phone and email with internal and external partners to ensure service requests are fulfilled accurately and with a high level of customer service.

• Maintain HIPPA compliance while communicating with various business partners such as transplant centers, third-party transporters, funeral homes, and medical examiners.

• Conduct thorough and detailed shift hand-offs with incoming team members to ensure continuity and minimize service disruption.

• Maintain professional relationships with transportation partners as they enter and exit the facility.

• Time Management

• Oversee the daily workflow of STA and third-party drivers, ensuring timely and efficient transport that meets services expectations.

• Accurately plan and schedule drivers to optimize equipment usage, reduce out-of-route mileage, and maintain detailed shipment records.

• Monitor all active cases to ensure logistical expectations are met.

• Occupy the Vestibule for all case related shipments to include donors, specimens, and equipment.

• Participate in ongoing training and development initiatives to remain current on logistics best practices and industry standards.

• Attention to Detail

• Document organ import status utilizing designated transplant software systems.

• Accurately record all inbound and outbound activity on the electronic log.

• Ensure all required transportation information is captured on the company's EDR.

• Source and verify all donors, specimens, and equipment that enters and departs the Vestibule.

• Assist in inventorying all equipment that is housed in the Vestibule.

• Assist in packaging specimens while ensuring appropriate labeling in accordance with company policy.

• Problem Solving

• Assist Donor Transporters, as needed, such as preparing donors for transport, loading equipment, and documentation.

• Report and resolve vehicle discrepancies that are communicated from Donor Transporters.

• Assist in cleaning any biohazard spills that occur while performing duties.

• Performs other job-related duties as assigned that are consistent with the purpose of the role.

Education, Experience, and Licensing Requirements:

• High school diploma or General Educational Development (GED) is required. A combination of alternative education and experience may be considered in lieu of the formal education requirements.

• Minimum of 3-5 years of job-related experience is required.

• Minimum of 1 year of fleet logistics experience is required.

• Experience in a healthcare setting is strongly preferred.

• Current Driver's License is required and maintained with an acceptable driving record as defined by STA policy.

Compliance:

• This position is classified as OSHA Bloodborne Pathogens Exposure Category I . Employees in this role routinely perform job duties that may involve direct contact with blood, bodily fluids, or other potentially infectious materials (OPIM). Appropriate use of Personal Protective Equipment (PPE) is required at all times.

• Employees will receive mandatory training on bloodborne pathogens, safe work practices, and proper PPE usage. Employees must comply with all applicable federal, state, and local laws, accreditation requirements, and organizational policies.

• This role requires compliance with HIPAA and all confidentiality standards related to patient, donor, employee, and organizational information. Employees must safeguard all confidential information and disclose it only as permitted by law and organizational policy.
