They are seeking a proactive, highly organized, and licensed Personal Lines Assistant Account Executive to join our collaborative team.

Position Summary

The Personal Lines Assistant Account Executive (AAE) plays an essential role in the daily operational success of our Personal Lines department. In this position, you will work closely with Account Executives, Producers, and dynamic insurance carrier partners to deliver seamless service throughout the policy lifecycle. You will serve as the engine behind quoting, marketing, and policy placement workflows.

The ideal candidate is an insurance professional who excels at multi-tasking, understands the intricacies of both standard middle-market and specialized High Net Worth insurance products, and is dedicated to accuracy. From preparing applications and routing DocuSigns to processing binder packages and issuing cancellations, your contributions will directly impact client satisfaction and agency retention rates.

Detailed Roles & Responsibilities

The Personal Lines Assistant Account Executive will be responsible for a wide spectrum of administrative, technical, and client-facing tasks, including but not limited to:

1. Quoting, Remarketing & Underwriting Support

• Assist Account Executives with gathering renewal data, underwriting specifications, and risk profiles for upcoming policy expirations.
• Submit quote requests and market applications through various carrier portals, comparative rating tools, and underwriting channels.
• Handle remarketing for existing accounts facing rate adjustments or exposure changes across middle-market and High Net Worth carriers (e.g., Chubb, Pure, Cincinnati, AIG, Travelers, Safeco, etc.).
• Compare quotes, summarize coverage options, and prepare professional client-facing proposals under the guidance of the Account Executive.
• Follow up regularly with carrier underwriters to clear underwriting contingencies, order loss runs, and obtain quote indications in a timely manner.

2. Application Processing & Documentation Workflow

• Prepare, review, and finalize complete Personal Lines insurance applications (Homeowners, Personal Auto, Umbrella/Excess Liability, Watercraft, Fine Arts, and Flood).
• Ensure all required state forms, coverage selection/rejection forms, and carrier-specific supplemental questionnaires are accurately populated.
• Create, deploy, and manage electronic signature packages via DocuSign; monitor progress and follow up with clients to ensure swift completion.
• Audit signed documentation upon return to guarantee compliance with state insurance regulations and internal audit standards prior to submission.

3. Premium Transactions & Billing Administration

• Collect initial down payments, process agency-bill and direct-bill premium transactions, and securely record payment confirmations.
• Assist clients with navigating carrier payment portals, understanding billing schedules, and establishing automated recurring payment plans (EFT, Credit Card).
• Issue certificates of insurance, evidence of property insurance, and auto ID cards upon binding of coverage.
• Monitor and resolve billing discrepancies, audit corrections, and past-due notices by collaborating with clients and carrier accounting teams.

4. Policy Lifecycle & Transition Management

• Facilitate the safe cancellation of prior coverages upon confirmation of new policy binding to prevent duplicate coverage or coverage lapses.
• Draft and deliver formal Lost Policy Releases (LPRs) and cancellation notices to prior carriers, ensuring accurate effective dates and follow-through for return premiums.
• Order and review Motor Vehicle Reports (MVRs), Comprehensive Loss Underwriting Exchange (C.L.U.E.) reports, and property inspection reports.
• Track and schedule home inspections for high-value properties; assist in gathering documentation to satisfy post-binding inspection recommendations.

5. Agency Management System (AMS) & Workflow Facilitation

• Maintain rigorous data integrity across our Agency Management System (e.g., Applied Epic) by updating policy details, logging correspondence, and attaching all client files.
• Create and execute daily tasks, suspense items, and follow-ups to maintain smooth, uninterrupted workflow across the Personal Lines service team.
• Respond to routine client inquiries regarding policy changes, billing questions, and ID card requests with a high standard of professionalism and urgency.

Required Qualifications & Skills

To be considered for this role, candidates must meet the following minimum qualifications:

• Licensing: Active Property and Casualty (P&C) Insurance License is strictly required.
• Experience: Minimum of 2–3 years of proven experience in personal lines insurance account management or administrative support within an independent agency or brokerage setting.
• Market Knowledge: Working knowledge of standard personal lines policies (Auto, Home, Umbrella, Specialty) and familiarity with High Net Worth carriers, products, and valuation requirements.
• Technical Proficiency:
  • Demonstrated proficiency in DocuSign administration and workflow tracking.
  • Hands-on experience with modern Agency Management Systems (Applied Epic).
  • Proficiency in carrier online quoting portals and comparative rating engines.
  • Intermediate to advanced skills in Microsoft Office Suite (Word, Excel, Outlook).
• Communication: Exceptional written and verbal communication skills; ability to interact confidently with high-profile clients and underwriting executives.
• Attention to Detail: High degree of accuracy in data entry, policy document review, and complex application packaging.

Preferred Qualifications

• Prior experience specifically handling High Net Worth personal lines accounts.
• Industry designations such as CISR, CPRM, or ACSR are a strong plus.
• Strong problem-solving skills with a continuous improvement mindset toward agency workflows.
