Facilities Coordinator – Greenhouse
Department: Cultivation FLSA Status: Non-Exempt Reports To: Senior Director of Cultivation
Supervisory Responsibilities
None. This position has no direct reports and no formal supervisory authority.
This position coordinates the day-to-day activity of vendors, contractors, and outside service providers working at the greenhouse, and escorts and monitors them while they are on site. That coordination is limited to site access, scheduling, confirming that completed work matches the agreed scope, and enforcing Company safety and compliance requirements. It does not extend to directing the manner or means by which contractor personnel perform their work. It does not constitute supervisory authority over Co mpany employees, and it does not carry authority to hire, discipline, direct the work of, or set the schedule of any Company employee.
Reporting Structure and Functional Alignment
Organizational Cultivation Reporting Line:
Facilities Coordinator – Greenhouse > Senior Director of Cultivation
The Senior Director of Cultivation provides primary supervision for this role, including day-to-day direction, prioritization of open items, performance management, and approval of any work that requires a management decision or expenditure. Because this position operates largely independently on site, the Senior Director of Cultivation sets priorities and the position reports progress and obstacles on a regular cadence rather than receiving continuous oversight.
This role collaborates with the Facilities, Compliance, Risk, and Finance departments, as well as with site leadership as the permanent team is assembled. Such collaboration does not create a reporting relationship outside the line described above.
Position Summary
The Facilities Coordinator – Greenhouse supports the Company’s greenhouse operation during an active transition period. This position closes out open health and safety items, coordinates vendors and contractors, performs and arranges general maintenance and grounds upkeep, and maintains the property to a standard that allows the greenhouse to return to safe, full operation as efficiently as possible.
The position maintains a single, organized punch list of open items with owners and target completion dates, drives that list to completion, and escalates anything requiring a management decision or spend approval. It is a hands-on role: the incumbent performs minor repairs, general handyman work, and landscaping and grounds maintenance directly, in addition to coordinating outside trades.
This is a temporary assignment established to bridge the period before the greenhouse is fully staffed. It carries no guaranteed duration and no commitment of conversion to a regular position. When permanent site staffing is complete, the responsibilities described here transition to the site team and the temporary assignment ends. Employment is at-will and may be ended by either the employee or the Company at any time, with or without notice or cause.
Essential Duties and Responsibilities
Health and Safety Closeout
Maintain a single, organized punch list of open health and safety items, including a named owner and a target completion date for each item.
Drive open items to completion, following up with vendors, contractors, and site staff so that work stays on schedule and nothing stalls.
Document completed corrective work, including photographs, invoices, certifications, and inspection results, and retain the records for regulatory and insurance purposes.
Identify and escalate items that require a management decision, a spend approval, or a licensed trade, rather than attempting work outside the scope of the position.
Report safety hazards, damaged equipment, and unsafe conditions immediately, and remove or barricade hazards where it is safe to do so.
Vendor and Contractor Coordination
Schedule, escort, and monitor vendors, contractors, and inspectors on site during walkthroughs, inspections, quoting, and active work.
Verify that all outside personnel are signed in, badged or escorted as required, and kept out of limited-access areas unless properly authorized.
Collect and route quotes, scopes of work, certificates of insurance, and invoices to the Senior Director of Cultivation and the appropriate departments.
Confirm that completed work matches the agreed scope before the work is accepted or the invoice is approved for payment.
Facilities Maintenance and Grounds
Perform minor repairs, preventive maintenance, and general handyman tasks — to keep the property in safe working order.
Maintain shrubs, plants, and landscaping at a safe distance from the greenhouse structure to help control pests, rodents, and other undesirable conditions, which requires regular and ongoing upkeep of the grounds.
Keep walkways, drives, yards, and exterior areas clear, drained, and free of debris and trip hazards.
Monitor building systems and equipment for proper operation and identify equipment status indicators with or without assistive tools, reporting faults for repair.
Communication, Compliance, and Recordkeeping
Provide regular, clear written updates to the Senior Director of Cultivation and the broader team on progress, obstacles, and any factors delaying reopening.
Maintain accurate records of work performed, materials used, vendor activity, and site access.
Complete METRC awareness training and understand how facility work , contractor access, and grounds activity can affect state traceability, limited-access areas, and secured product; take direction from Cultivation and Compliance staff before performing work in any area where plants, product, or METRC-tagged material are present.
Follow all Cannabis Compliance Board (CCB) requirements applicable to the site, including limited-access area restrictions, visitor and contractor logging, and prohibitions on recording or photographing security layout or features.
Follow all Company safety policies, including lockout/tagout, personal protective equipment, ladder and fall protection, chemical handling, and pesticide-area entry requirements.
Perform other duties as assigned.
Schedule and Work Hours
This is a full-time, temporary, non-exempt position. The regular schedule generally follows standard site hours, but the position must be available to align with vendor, contractor, and inspection schedules, which may require early starts, evenings, or weekend work. The position may also be called in to respond to urgent facility or property issues.
All hours worked are recorded and paid in accordance with the Fair Labor Standards Act and Nevada law, including overtime, call-in time, and travel between Company locations during the workday. Where this position is required to remain available in a way that meaningfully restricts personal activity, that on-call time is compensable in full and is not limited to time spent responding. Overtime should be approved in advance; advance approval is a policy expectation and not a condition of payment. Work perfor med off the clock is prohibited.
Compliance and Continuing Eligibility
Employment in this position is contingent upon obtaining and maintaining a valid Nevada Cannabis Compliance Board (CCB) agent registration card and upon ongoing compliance with all Company policies and applicable state and local regulations. The agent card must be carried at all times while inside any Company cultivation, production, distribution, or dispensary facility, and must remain active for the entire time the employee is working.
The employee must notify Human Resources promptly of any change to licensure, eligibility, or driving record affecting the ability to perform this role. The employee must also notify Human Resources within five calendar days of a felony conviction, a civil penalty or judgment entered against them as a card holder, or the initiation of a government investigation or proceeding against them as a card holder.
This position must complete all required Company and regulatory training within the timeframes established by the Company. That includes METRC awareness training, safety training, any site-specific training, and Worker Protection Standard training where the position works in or around areas in which pesticides are applied. Although this position does not enter transactions in METRC, it works in and around areas where METRC-tracked plants and product are stored and handled, and is responsible for understanding how facility and grounds work, contractor access, and equipment servicing can affect traceability, secured storage, and the integrity of limited-access areas.
Because this position escorts outside vendors and contractors into secured and limited-access areas, it carries a heightened stewardship obligation. The employee is responsible for ensuring that escorted personnel remain within authorized areas, that access is logged as required, and that security information, layout, and features are never photographed, recorded, or disclosed. This position must never refuse, delay, or obstruct a regulatory inspection, make a false or incomplete statement to a regulator, o r alter or conceal records. All Company, customer , patient , employee , and operational information encountered in the course of this work is confidential and must be protected in accordance with Company policy and applicable law.
Equal Employment Opportunity Statement
The Company is an Equal Employment Opportunity employer. Employment decisions are made without regard to any status protected by applicable law.
Requirements
Minimum Qualifications
Minimum of three years of experience in facilities support, property maintenance, groundskeeping, building trades, or a related field.
Hands-on and mechanically inclined, with demonstrated comfort using hand and power tools and performing basic repairs and general maintenance work.
Demonstrated ability to coordinate effectively across vendors, contractors, and internal teams.
Able to manage a punch list independently — setting priorities, tracking owners and due dates, and keeping multiple open items moving with minimal oversight.
Strong written and verbal communication skills, with sound judgment about what to elevate and what can be resolved directly.
Prior experience with this property, or with greenhouse or agricultural operations of similar scale, is strongly preferred.
Basic computer and mobile device proficiency sufficient to maintain a tracking list, capture photo documentation, and send written status updates.
Must be at least 21 years of age.
Must be able to obtain and maintain a valid Nevada Cannabis Compliance Board (CCB) agent registration card, including the background check required for that registration.
Valid driver’s license and the ability to meet the Company’s insurability standards for the occasional travel between Company locations and to suppliers that this position requires.
Equivalent combinations of experience, training, and education will be considered, including relevant internal experience with Deep Roots Harvest. Emphasis is placed on demonstrated skill and capability.
Work Environment and Physical Requirements
This position works on site at a greenhouse and cultivation facility, including secured and limited-access areas, and moves regularly between indoor greenhouse space, mechanical and utility areas, storage areas, and outdoor grounds. The work takes place around active construction, maintenance, and contractor activity. Travel is limited and local, consisting of occasional trips between Company locations or to suppliers; overnight travel is not expected.
This position requires walking and standing for the majority of the shift, including on uneven, unfinished, wet, or sloped terrain. It requires frequent bending, stooping, kneeling, crouching, reaching overhead, and climbing stairs and ladders, and regularly lifting, carrying, pushing, and pulling materials, tools, and equipment weighing up to 50 pounds, with assistance or mechanical aid for heavier loads. It requires manual dexterity sufficient to operate hand and power tools, the ability to identify equipment status indicators with or without assistive tools, and the ability to perceive and respond to moving equipment and vehicles, with or without accommodation.
Work is performed outdoors in varying weather conditions, including heat, cold, wind, sun, and dust, as well as indoors in greenhouse environments with elevated temperature and humidity. Exposure to cannabis plants, cannabis odor, pollen, fertilizers, cleaning agents, and pesticides is an inherent condition of this environment. Personal protective equipment is provided and must be worn as required. Reasonable accommodation may be made to enable qualified individuals with disabilities to perform the essentia l functions of this position.
