AP Specialist

Job Overview
Search Solution Group is seeking an AP Specialist on behalf of our client, a real estate holding company and parent organization to multiple retail and service brands.


The AP Specialist will be responsible for managing and executing accounts payable functions while ensuring timely, accurate, and compliant processing of invoices and payments. This role plays a critical part in maintaining strong vendor relationships, supporting month-end close activities, and ensuring adherence to company policies and internal controls. The ideal candidate will be highly detail-oriented, collaborative, and motivated to contribute to a fast-paced and evolving organization.

Key Responsibilities

• Manage and execute day-to-day accounts payable processes.
• Verify, review, and process vendor invoices and payment requests accurately and in a timely manner.
• Prepare and execute payment runs, including checks, ACH transactions, and wire transfers.
• Reconcile vendor statements and research discrepancies to ensure accurate account balances.
• Respond to vendor inquiries professionally and resolve payment-related issues promptly.
• Maintain accurate and up-to-date accounts payable records within the company's accounting and ERP systems.
• Assist with month-end closing activities, including accrual preparation and account reconciliations.
• Ensure compliance with company policies, procedures, and internal controls.
• Support 1099 preparation and reporting activities.
• Provide accounts payable guidance and education to internal and external stakeholders regarding AP processes and procedures.
• Collaborate with cross-functional teams to improve processes and support financial operations.
• Participate in special projects, process improvement initiatives, and other ad hoc assignments as needed.

Requirements Include Education

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.

Experience

• Minimum of 5 years of accounts payable or related accounting experience.
• Experience processing high-volume invoices and managing vendor relationships.
• Experience supporting month-end close activities and account reconciliations.
• Experience working with ERP systems required.
• Experience with 1099 processing and reporting preferred.

Skills

• Strong accounts payable and invoice processing skills.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Excellent attention to detail and accuracy.

• No specific certifications required.
• Accounting or finance-related certifications are a plus.

• Familiarity with 1099 reporting requirements.
• Working knowledge of ERP systems and accounting software.
• Understanding of internal controls and financial compliance procedures.
• Knowledge of month-end close processes and account reconciliations.
