Executive Assistant - Chief Health Officer

This Executive Assistant will work as part of our c-suite administrative team and will directly support our Chief Health Officer. This high-visibility, fast-paced role requires sound judgment, discretion, and communication skills. We are seeking a proactive professional with demonstrated experience working with a leadership team and who has the ability to interact with internal and external clients and colleagues at all levels.

This is an on-site position, Monday through Friday, and will ensure continuity, efficiency, and high-level support.

Key Accountabilities

  • Effective Calendar Management
    • Proactively manage complex, high-volume calendars for two senior executives
    • Schedule meetings, anticipate conflicts, and ensure alignment with business priorities
  • Administrative Support
    • Organize, prepare, and distribute agendas and materials for meetings
    • Attend meetings as needed to take notes, track follow-ups, and ensure timely completion of action items
    • Serve as a key point of contact for internal teams and external partners visiting the Minnetonka office
    • Ensure the executives' workspaces and meeting logistics run smoothly
  • Coordination of Activities and Data Management
    • Interface effectively with other executive assistants and department leaders across the company to align calendars, coordinate joint efforts, and support enterprise initiatives
    • Assist with project coordination and tracking for strategic initiatives led by the executives, as needed
  • Communication
    • Draft, review, and manage professional communications on behalf of senior executives, including emails, memos, and presentations
    • Handle sensitive information and matters with a high degree of confidentiality and professionalism
  • Invoice and Expense Report Processing
    • Coordinate domestic travel arrangements, itineraries, and accommodations
    • Process related expenses in a timely and accurate manner

Required Qualifications

  • Bachelor's degree or equivalent experience
  • 4+ years of experience supporting senior-level executives in a fast-paced, corporate environment
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint, Zoom)
  • Demonstrated experience in leveraging AI productivity tools (e.g., ChatGPT, Microsoft Copilot, or similar) to enhance efficiency, quality, and speed of work

Skills and Abilities

  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities while maintaining flexibility and responsiveness
  • Excellent verbal and written communication skills
  • Demonstrated professionalism, discretion, and judgment
  • Experience supporting more than one executive simultaneously
  • Prior experience in health care, technology, or strategy functions preferred
  • Experience working within or supporting project-based work or change/transformation initiatives preferred

This position is an Office role, which requires an employee to work from the designated office, Minnetonka, MN, 5 days a week.

The full salary grade for this position is $70,200-$120,400. While the full salary grade is provided, the typical hiring salary range for this role is expected to be between $70,200-$105,315. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data. In addition to compensation, Medica offers a generous total rewards package that includes competitive medical, dental, vision, PTO, Holidays, paid volunteer time off, 401K contributions, caregiver services and many other benefits to support our employees.
