POSITION SUMMARY

The Clinic Support Specialist plays a key role in supporting clinical operations and ensuring a seamless patient experience. This position provides both administrative and clinical assistance, helping to maintain efficient clinic workflow, support patient care, and ensure the smooth functioning of clinic services across multiple locations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Room patients and maintain efficient clinic flow.
• Entering ROS
• Assisting patients with Teams links
• Oversee medical equipment, ensure their proper functioning- EMG Machine and Pump refill equipment
• Assist with the acupuncture clinic- Set up supplies and sanitize room after each patient
• Provide coverage for other members of the Back Office staff when needed, as well as assist with coverage in the Front Office
• Forms completion- Retrieving forms for FCA
• Assist with patient education on relatable treatments- ESI, FRP, CBI
• Collect urine specimens from patients and perform preliminary urine drug screens
• Process urine drug specimens for laboratory technician
• Bill for UDS preliminary and Confirmatory
• Travel to Castro Valley and Walnut Creek offices
• Providing Front Office coverage
• Perform other related duties as assigned

Qualifications Required (Education, Experience, AND Skills)

• High school diploma or General Education Degree (GED) required.
• Knowledge of medical terminology and clinical and laboratory procedures.
• Proficiency with office equipment and software, including electronic medical record (EMR) systems.
• Strong data entry, documentation, and recordkeeping skills with high attention to detail.
• Ability to monitor workflow and perform quality control checks.
• Effective verbal and written communication skills with patients, staff, and providers.
• Strong customer service skills and professionalism when handling sensitive or difficult situations.
• Detail-oriented, organized, and able to work well under pressure in a fast-paced environment.
• Team-oriented with the ability to collaborate across departments.
• Sound judgment and critical-thinking skills to evaluate situations and make decisions.
• Ability to manage multiple tasks, meet deadlines, and adapt to changing priorities.
• Ability to meet the physical and environmental demands of a clinical office setting.
• Ability to travel as needed to other clinic locations.

 

PREFERRED

 

• Bilingual (English/Spanish) strongly preferred, with the ability to communicate effectively with patients, staff, and providers
• Previous Workers’ Compensation experience
• Certified Medical Assistant with 2 years of previous experience or bachelor’s degree in biology or a closely related field
• Current CPR/BLS certification

· The employee may occasionally be required to stoop, kneel, or bend to retrieve files, supplies, or office equipment.

· The employee must occasionally lift and/or move up to 20–25 pounds (e.g., files, supply boxes, or office equipment).

· Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus for computer work and reviewing documents.

The noise level in the work environment is generally moderate, consistent with a standard office or clinic setting, and tasks are often performed in close proximity to other staff.
