A well-established mechanical services company in Fresno is looking to add a dependable, coachable, and sharp Service Department Coordinator to support their busy HVAC service team. This person will work directly under the HVAC Service Manager and play a key role in keeping the service department organized, responsive, and moving efficiently. This is a temporary-to-hire opportunity with a MondayFriday schedule from 7:30 AM to 4:30 PM. Experience in dispatching, service coordination, work order management, scheduling, customer service, or supporting field technicians is highly desirable. The hiring manager is less concerned with HVAC experience and more interested in finding someone who is organized, coachable, professional, computer-savvy, and eager to learn in a fast-paced environment.

• Handle and direct incoming calls from clients, ensuring their queries and concerns are addressed promptly and professionally.
• Take detailed messages and relay them accurately to the appropriate department or individual.
• Coordinate between different departments to ensure smooth operations and timely completion of projects.
• Provide regular updates to clients regarding the status of their projects, changes or delays.
• Utilize Microsoft Office tools to create, manage, and maintain records, reports, and other important documents.
• Perform data entry tasks, ensuring all client information and project details are accurately captured and updated in the system.
• Process work orders and service requests, ensuring they are correctly logged and assigned to the appropriate technicians.
• Dispatch technicians to project sites, ensuring they have all the necessary information and resources to complete their tasks.
• Maintain a high level of professionalism and customer service at all times, addressing any issues or complaints promptly and effectively.

Qualifications:

• A minimum of 3+ years of experience in a similar role, preferably within the construction industry.
• Proven experience in customer service, with a strong ability to handle and resolve customer issues effectively.
• Exceptional communication skills, with the ability to handle incoming calls and relay messages accurately.
• Strong organizational skills, with a proven ability to coordinate between various departments and manage multiple tasks simultaneously.
• Proficiency in Microsoft Office, particularly in Word, Excel, and Outlook.
• Service software experience preferred - Vista Field Service (Trimble)
• Experience in data entry, with a keen eye for detail and accuracy.
• Familiarity with processing work orders and service requests.
• Experience in dispatching technicians, with a strong understanding of the resources and information they need to complete their tasks.
• A positive attitude and a strong commitment to providing exceptional customer service.
• Ability to work in a fast-paced, dynamic environment, and adapt to changing priorities.
• High school diploma or equivalent; a degree in a related field will be considered an advantage.
