Position Summary

The Safety and Compliance Coordinator supports safe, compliant drayage operations by maintaining driver and equipment records, monitoring safety performance, coordinating training, and following up on incidents and violations. The position works closely with drivers, owner operators, dispatch, maintenance, and management to reduce preventable accidents and keep qualified drivers and safe equipment available for service.

Essential Responsibilities

· Maintain complete, accurate driver qualification files; track commercial driver licenses, medical qualification status, motor vehicle records, required reviews, and other onboarding and renewal documents.

· Coordinate driver and owner operator onboarding, safety orientation, required screenings and approval workflows before dispatch.

· Administer drug and alcohol testing activities and Clearinghouse queries and reporting within assigned authority; coordinate with the designated employer representative and testing providers, maintain confidentiality, and escalate prohibited driver status immediately.

· Review hours of service records, electronic logging device alerts, supporting documents, and applicable short haul time records. Identify exceptions, coordinate corrections, and document driver coaching.

· Track roadside inspections, citations, out of service events, and corrective actions. Monitor FMCSA safety data, identify trends, and support documented DataQs requests when appropriate.

· Coordinate accident and incident intake; collect driver statements, photographs, police reports, and camera or telematics records. Preserve evidence, support required post accident testing decisions, and assist management and insurers with investigations and claims.

· Work with maintenance and dispatch to track inspections, reported defects, repairs, and equipment compliance records. Escalate unsafe equipment and verify documented resolution before release through the authorized process.

Drayage Safety and Terminal Compliance

· Reinforce safe container and chassis practices, including pre trip checks, coupling, landing gear, twist locks, container securement, backing, and defect reporting to intermodal equipment providers.

· Track applicable port and rail credentials, including TWIC where required, terminal registrations, access approvals, and expiration dates; communicate facility safety and security requirements.

· Coordinate with dispatch on overweight containers, axle weight concerns, routing restrictions, permits, and hazardous materials requirements when applicable. Escalate concerns before movement.

· Conduct safety meetings and targeted coaching using inspection findings, incidents, and telematics trends. Maintain attendance and training records.

· Prepare files for internal reviews, regulatory audits, and insurance inspections. Track corrective actions and communicate changes in applicable requirements and company policies.

· Maintain compliance calendars and management reports covering overdue items, preventable accidents, inspection results, hours of service exceptions, and training completion. Protect sensitive driver and incident information.

Required Qualifications

· High school diploma or equivalent and at least two years of trucking safety, compliance, fleet administration, or closely related experience.

· Working knowledge of DOT and FMCSA requirements relating to driver qualifications, hours of service, drug and alcohol programs, and vehicle inspection and maintenance.

· Experience maintaining detailed records, tracking deadlines, and using Excel, Outlook, and fleet or compliance software.

· Strong communication and organizational skills; ability to coach drivers respectfully, protect confidential information, and exercise sound judgment under pressure.

Preferred Qualifications

Drayage or intermodal experience; familiarity with port and rail operations, chassis pools, and owner operator fleets; experience with ELDs (Samsara), telematics, camera systems, the Clearinghouse, and DataQs. Transportation safety coursework or certification is a plus. Bilingual English and Spanish skills are helpful where relevant to the driver population.

Work Environment and Expectations

Primarily office based with periodic visits to terminals, yards, and maintenance areas. Follow site safety rules and wear required personal protective equipment. Occasional local travel and after hours incident support may be required. Essential duties may be performed with reasonable accommodation.
