Group Sales CoordinatorAt Fairmont Century Plaza, that includes the conferences, celebrations and corporate retreats that bring hundreds of guests to the "Western White House" at once.As Group Sales Coordinator, you're the engine behind our Sales team. You'll draft the contracts, build the room blocks, manage the details and keep every group file perfect, so our Sales Managers can spend their time with clients, closing business. If you're highly organized, love a fast pace and want to start a career in luxury hotel sales, this is the place to begin.Reporting to the Director of Group Sales, responsibilities and essential job functions include but are not limited to the following:Power the sales processDraft contracts, proposals and amenity packages with accuracy and polish.Build and maintain group room blocks in Opera Sales & Catering and manage cut-off dates.Create and maintain complete group files, including contracts, rooming lists, billing information, recaps and checklists.Track rooming lists and billing information so everything arrives on time.Prepare site inspection itineraries and coordinate on-property visits for prospective clients.Be the first point of contactAnswer sales lines professionally and screen new inquiries, gathering the details Sales Managers need.Follow up with clients by phone and email when Sales Managers are unavailable.Build relationships with group contacts from contract through arrival.Keep the team runningMake guest room reservations through Reservations and dining reservations through OpenTable for the Director of Sales & Marketing and Group Sales Managers.Prepare and distribute sales materials, documents and gift certificates.Manage department supplies, business card orders, and system access and IT requests.Handle every task with one goal: giving Sales Managers maximum time with their customers.What is in it for you:Pay Range: $32.00– $34.93 per hourDiscounted hotel rooms and food & beverage rates at our sister properties around the globeLearning programs through our Academies to help you grow and perform at your full potentialA clear path into hotel sales, with the opportunity to grow within Century Plaza and across the worldThe chance to make a difference through Corporate Social Responsibility activities like Planet 21 and WATCH[Health benefits, 401(k), complimentary meals, other perks]Your experience and skills include:Previous administrative or office experience in a detail-oriented roleLuxury hotel or resort experience is preferredExperience with Opera Sales & Catering or a similar sales and catering system is preferredOutstanding organization; able to juggle multiple deadlines in a fast-paced environmentPolished written and verbal communication, including professional phone skillsSelf-motivated, able to make sound decisions on your own and build efficient systemsAble to handle confidential information with discretionProficient in Microsoft Office; typing speed of at least 40 words per minuteFluent spoken and written English; additional languages are an assetA hospitality diploma or degree is an assetYour team and working environment:This experience begins with a new kind of workplace, one where the energy is contagious, the stories are invigorating, and the challenges present inspiring opportunities to make your mark.
