Inside Sales Coordinator

Job Description

SeaTrade International Inc., a subsidiary of COSCO SHIPPING (North America) Inc., is seeking a detail-oriented professional to join our team in an onsite role based in Secaucus, NJ, supporting key sales and documentation functions.

Key Responsibilities include but are not limited to:

Contract Filing

\n
• Maintain and organize all carrier contract records, including Service Contracts (S/C), amendments, rate agreements, and related supporting documents.
\n
• Ensure newly approved contracts and amendments are filed promptly and accurately in the appropriate system or shared folder.
\n
• Ensure all contracts and rate agreements are properly maintained, easily accessible, and consistent with the rates being quoted and applied to shipments.
\n
• Coordinate with Sales, Pricing, and Management to obtain missing or updated contract information.
\n
• Ensure the latest version of each contract or amendment is maintained and outdated versions are properly identified.
\n

Quotation

\n
• Prepare and issue customer quotations based on approved contracts, tariff rates, market conditions, and customer requirements.
\n
• Verify ocean freight rates, applicable surcharges, origin/destination charges, documentation fees, and other applicable charges before sending quotations.
\n
• Coordinate with Pricing, Sales, and Operations when special rates or exceptions are required.
\n
• Provide accurate, competitive, and timely quotations while supporting revenue growth and increasing quotation-to-booking conversion.
\n

Sales Reporting

\n
• Prepare the monthly sales report accurately and within the required reporting deadline.
\n
• Collect and consolidate sales data from OCS and other applicable systems.
\n
• Prepare sales performance reports by salesperson, customer, trade lane, commodity, contract, and other required categories.
\n
• Maintain historical monthly reports for management review and future comparison.
\n
• Assist management in preparing quarterly, half-year, and annual sales performance reports.
\n
• Provide management with accurate and timely sales information to monitor performance, identify business opportunities, and make informed decisions.
\n

FMC Rate Filing

\n
• Support the preparation and filing of required Service Contract (S/C) information with the Federal Maritime Commission (FMC).
\n

Sales Meeting Minutes

\n
• Attend and support weekly/monthly sales meetings and record meeting minutes.
\n
• Document key discussion points, sales performance updates, customer issues, market conditions, and management instructions.
\n

OBL Printing

\n
• Coordinate and process Original Bill of Lading (OBL) printing requests in accordance with company procedures.
\n
• Verify that the OBL has been properly approved and that all required information is complete before printing.
\n
• Ensure OBLs are printed within the required customer or operational deadline.
\n
• Ensure OBLs are printed accurately and released on time while maintaining proper document control and minimizing the risk of documentation errors.
\n
