General Description:
The Budget & Administrative Manager provides multifaceted support and coordination as a critical member of the School of Nursing staff. This position emphasizes key fiscal, contract personnel, and business process consultation for the School of Nursing and other units in the College of Health Professions (Social Work, Marriage and Family Therapy, and Kinesiology). The main area of responsibility includes the School of Nursing’s budgets and accounts. This position maintains a professional presence to all internal and external constituents and reports to the Dean of the School of Nursing.
Essential Functions and Responsibilities:
- Assist the SON Dean and collegiate leadership in the preparation of annual budget planning documents.
- Allocate budget amounts in consultation with the SON Dean.
- Reconcile monthly/annual budgets and accounts and prepare comprehensive budget reports.
- Implement and maintain processes for tracking expenses and identify/report budget variances to the SON Dean.
- Manage tracking for annual and routine expenditures, renewals, and income for SON operations.
- Collaborate with the Office of Sponsored Programs to ensure appropriate expenditures under grant and gift funds.
- Ensure accuracy for year-end close of assigned budgets and accounts and report on alignment with established budget goals.
- Provide consultation to CoHP staff on the development of internal fiscal and business operations practices to align with university policies.
- Process all part-time or contingent SON faculty contracts in collaboration with the Office of the Provost and HR.
- Payment Processing
- Draft scopes of work for independent contractor agreements on behalf of the SON and collaborate with Risk Services and Procurement to execute and finalize agreements.
- Draft and submit Requisition and Purchase Order requests on behalf of the SON.
- Collaborate with the Procurement Office in the development and execution of Requests for Proposals (RFP) and Request for Quotes (RFQ) for large SON purchases and services.
- Monitor and Manage SON’s use of Amazon Business workflow (and other suppliers as assigned), including but not limited to troubleshooting, monitoring and managing approval hierarchies, auditing invoices, and analyzing expenditures.
- Serve as the primary requestor on behalf of SON for PLU’s contract risk review process.
- Perform other duties as assigned.

Required Qualifications:
- Bachelor’s degree or 2 years of related experience. Education may substitute for some experience.
- High school diploma or GED.
- Finalist applicants must satisfactorily complete pre-employment background checks.
Preferred Qualifications:
- Bachelor’s degree with business/administrative focus.
- Experience in an academic system.
- Experience with professional degree programs and regulatory requirements.
