Operations Support Specialist The Operations Specialist for Admissions & Systems provides primary operational support to the Office of Recruiting & Admissions in administering the admissions software system (Slate) and ensuring timely processing and workflows for prospective students, including awards for new and returning graduate students. The Operations Specialist will also assist with a variety of prospecting and recruiting activities, providing general operations support to the Office. They will work under the direction of the Assistant Dean of Enrollment to ensure a positive experience for new and returning students, supporting overall VPA enrollment objectives. This position is part of a bargaining unit and is represented by the union SEIU, Local 200 United. Bachelor's degree in arts administration, business, management, information systems, or related field preferred with at least 2 years of experience in an office setting with data and systems management responsibilities; specific admissions experience may be substituted for the degree requirement. At least 2 years' experience working in an office setting, preferably within higher education admissions or enrollment. Previous experience or expertise in systems administration, preferably CRM and or admissions software (Slate preferred). Superior attention to detail and deadlines, foresight, and excellent organizational skills. Excellent verbal and written communication skills with the ability to interface with students, families, faculty, and others in a highly professional manner. Previous experience with data management, with experience in synthesizing data and producing effective reports and analysis. Ability to work independently, multitask, and always maintain mature judgment and confidentiality. Oversees and monitors system workflow of applications for prospective students, including auditing applications for completeness and supporting materials (portfolios, etc.) and awards for new and returning graduate students. Manages the processing workflow for portfolio reviews and audition schedules, including managing the audition waitlist and logistics of schedule adjustments. Track issues and provide recommendations to the Assistant Dean and the Associate Director for improvements and efficiencies. Serves as an expert and leader in the administration of the CRM (Slate) and will create metrics to measure outcomes and effectiveness of events and recruiting initiatives; provides the Assistant Dean with meaningful reports and analysis of data. Provides office coverage and support with office operations as needed or scheduled; coordinates appointments and distribution of incoming inquiries (phone, email, etc.); cross-trains on recruitment functions and presentation to support recruiting events and initiatives, both on- and off-campus. Serves as an ambassador for VPA and SU, consistently presenting a positive, professional image to prospective students and families. Coordinates and communicates with VPA faculty and leaders to guide their participation in the application and admissions process for new and returning students; facilitates user initial and recurring training for faculty and staff on the Recruiting & Admissions processes and systems. Provides support in managing recruiting and admissions expenses and achieving budget expectations and constraints.
