Professional Program Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Professional Program Coordinator based in United States. This remote role provides administrative and coordination support across professional membership, education, continuing education, and major professional events. You will help keep recurring workflows, schedules, communications, reporting, and program requirements organized and on track. The position works closely with internal teams, healthcare professionals, volunteers, vendors, and other stakeholders. It offers an opportunity to contribute to programs that support healthcare professionals and advance professional education. Success in the role requires strong organization, accuracy, responsiveness, and the ability to manage competing priorities. You will also support digital events, customer service activities, content workflows, and continuing education processes. Accountabilities - Coordinate administrative activities across professional membership, professional education, continuing education, and annual conference initiatives. - Manage scheduling for meetings, podcast recordings, and other activities involving healthcare professionals with complex calendars. - Prepare and coordinate monthly team reporting and maintain accurate program information and records. - Coordinate content calendars and publishing activities for professional social media channels. - Monitor and respond to customer service inquiries through Salesforce and ensure requests are handled appropriately. - Support timelines, administrative processes, and coordination requirements for the annual professional conference. - Process vendor payments, volunteer reimbursements, and other financial administration activities. - Collect required continuing education speaker documentation and maintain accurate faculty and program rosters.

- Support the dissemination and tracking of continuing education peer-review activities. - Build and maintain monthly continuing education activities within the designated professional education resource center. - Provide editorial workflow and administrative support for professional publications. - Provide technical coordination and support for virtual events, including educational sessions, podcast recordings, and member calls. - Take on additional administrative and program coordination responsibilities as needed while maintaining professionalism, accuracy, and confidentiality. Requirements - Bachelor’s degree from an accredited college or university preferred. - 2–3 years of relevant office or administrative experience preferred, ideally including experience supporting healthcare professionals. - Experience in project coordination or program management is desirable. - Advanced organizational skills, with the ability to manage multiple projects, recurring workflows, deadlines, and priorities simultaneously. - Strong attention to detail and a high level of accuracy when managing data, schedules, documentation, and administrative processes. - Excellent interpersonal skills and the ability to build productive relationships with internal and external stakeholders. - Strong written and verbal communication skills, combined with a customer-service-oriented approach. - Proficiency with Microsoft Office applications, word processing tools, and Outlook Calendar. - Ability to work independently, establish priorities, manage deadlines, and remain effective under time pressure. - Resourceful and collaborative approach, with the ability to contribute effectively both independently and as part of a team. - Professionalism, discretion, integrity, and sound judgment when handling sensitive information and stakeholder interactions.
