Job Title: Receiving & Gate Coordinator Assistant

Position Summary:

We are seeking a Receiving Coordinator Assistant / Yard & Gate Coordinator to support daily receiving operations and manage gate access at our pipe yard. This role is responsible for verifying shipments, handling documentation, coordinating yard activity, and ensuring all personnel and drivers are properly checked in and following safety protocols.

Key Responsibilities:

• Verify incoming materials against POs, BOLs, and MTRs
• Collect and review BOLs for inbound and outbound shipments (truck and rail)
• Create receiving reports and update inventory systems
• Retrieve BOLs and complete receiving documentation for rail shipments
• Track daily metrics related to receiving and railcar unloading
• Operate from the guard shack, checking in all personnel, visitors, and drivers using internal systems (SharePoint)
• Verify driver appointments, pickups, and deliveries across multiple systems
• Direct drivers and visitors safely within the yard and communicate arrivals to appropriate teams
• Coordinate with yard crews on unloading, staging, and loading activities
• Enforce safety procedures and site access protocols
• Work closely with third-party personnel, including Allied Security, to ensure SOP compliance

Qualications:

• Strong attention to detail and organizational skills
• Ability to multitask in a fast-paced environment
• Basic knowledge of shipping/receiving documents (POs, BOLs, MTRs preferred)
• Comfortable using computer systems and data entry tools
• Strong communication skills and a safety-rst mindset
• Experience in logistics, yard operations, or gate coordination preferred

Work Environment:

• Split between office and guard shack.
