Assistant Director of Operations

Salary $66,300 - $75,000 Overview A nationally recognized comprehensive Health and Human Services Agency with over 60 programs across New York City and the greater New York Area. Role Under the general direction of the Program Director, the Assistant Director of Operations ensures safe and efficient operations of an agency residential program. By managing and monitoring administrative, fiscal, food services, physical plant safety and security, and transportation systems, this position supports a positive environment of care for persons served. The Assistant Director of Operations ensures a clean, hazard‑free, and effective treatment environment to support clinical services and supervises a diverse team of support and clinical staff. Responsibilities Ensure program adherence to federal, state, and regulatory guidelines governing physical plant, food services, and fire/safety management. Manage and monitor program environment to maintain regulatory compliance, agency safety and security policies, therapeutic milieu, and professional relationships. Manage and monitor daily kitchen operations, vehicle transportation systems, and the physical plant per policies in the Health, Safety, and Risk Management Manual, supervising night, weekend, food services, maintenance staff, and the Healthcare Coordinator. Provide scheduled supervision and document supervisory sessions with staff. Identify staff training needs and plan, develop, or conduct training to improve staff competencies and policy compliance. Ensure all staff uphold the agency's Code of Conduct/Code of Ethics and comply with federal, state, and local laws, including 42 CFR confidentiality and HIPAA privacy regulations. Manage inventories of cosmetic, janitorial, and office supplies. Prepare and process purchase orders and check requests. Monitor and supervise agency vehicles. Maintain facility telephone system. Act as custodian of petty cash fund when needed. Compute and process client personal needs allowance monies. Inform Program Director of significant activities or conditions that may impact operations and care. Develop an annual physical plant maintenance budget on request. Serve as a New York State‑mandated reporter. Participate in quality improvement committees or work groups. Perform other duties as requested. Qualifications Food Protection Certification from NYC Dept. of Health or relevant County DOH at hire or within 90 days. CPR Certification at hire or within 90 days. High School Diploma or Equivalent. At least 2 years of administrative, building management, or related experience. Flexibility to work a schedule as program needs demand. Computer literacy including Microsoft Office and EHR. Ability to work under pressure with excellent organizational skills. Maintain confidentiality of patient records. Experience working directly with diverse populations. Team player, able to work independently, with strong time‑management, writing, and communication skills. Excellent interpersonal skills; ability to supervise, coach, mentor, develop, train, and teach substance use and other clinical providers.
