Your Skills and Duties
- Provide front office reception and manage a multi-line phone system
- Maintain program databases and generate accurate, timely reports
- Manage petty cash accounts, fiscal fund requests, and reconciliations
- Code and submit reimbursements and vendor invoices
- Maintain donation records and financial documentation
- Support onboarding, offboarding, and ongoing HR administrative processes
- Prepare meeting materials, correspondence, and safety meeting documentation
- Conduct file management, audits, archiving, scanning, and data entry
- Manage incoming/outgoing mail, office supply inventory, and meeting room scheduling
- Provide local technical support related to agency equipment
- Maintain confidentiality in accordance with HIPAA and regulatory requirements
- Model Aspiranet's Professional Code of Ethics and agency values
- Minimum of two (2) years of experience in clerical or business office operations
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Experience working in a Windows-based environment
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Meets all state-required conditions of employment (DOJ Fingerprint Clearance, Child Abuse Index Clearance, TB/Health Physical)
- Valid California Driver's License and clean driving record if driving is required
