This role will support the Office of the Chief Construction Officer and partner closely with leadership and the construction team on project coordination and operations support.Job Description:Our client is seeking a Construction Administrative Assistant to provide administrative and project support to the construction team in a fast-paced environment. This role will focus heavily on coordinating contracts, purchase orders, change orders, and project documentation while helping ensure projects stay organized and moving forward.The ideal candidate will be proactive, detail-oriented, and confident communicating with leadership, vendors, and project managers. A large portion of this role involves tracking approvals, following up on outstanding items, maintaining reports and logs, and helping manage multiple moving pieces across ongoing construction projects.Key Responsibilities:Prepare and process construction-related documentation including purchase orders, contracts, change orders, and notices to proceedCoordinate document approvals, signatures, and distribution to vendors and internal stakeholdersMaintain project logs, reports, schedules, and tracking documentationProcess invoices and expense authorizationsTrack insurance verifications and maintain organized recordsSummarize bids into Excel spreadsheets for project managersCommunicate regularly with vendors, project managers, and leadership via phone and emailFollow up proactively on outstanding approvals and deadlines to help keep projects on trackProvide day-to-day administrative and project coordination support to the construction teamQualifications:3-5+ years of administrative or project support experience within the construction industry requiredExperience supporting general contractors, subcontractors, or related construction environments preferredExperience preparing purchase orders, contracts, change orders, project schedules, and notices to proceedProficiency in Microsoft Office Suite and Adobe requiredBluebeam experience highly preferred (training available)Strong written and verbal communication skills with the confidence to follow up persistently with leadership and vendorsHighly organized, detail-oriented, and capable of managing multiple priorities simultaneouslyAssociate's or Bachelor's degree preferredAdditional Details:Reports to: Chief Construction OfficerTeam Size: 9Company Size: 1,600+ employeesInterview Process: One interview with the Chief Construction Officer and teamStart Date: ASAP (Tuesday or Wednesday preferred)Perks:Stable organization with long-standing industry reputationHands-on exposure to construction operations and project coordinationCollaborative and fast-paced team environmentAddison Group is an Equal Opportunity Employer.
