La Jolla Institute for Wealth Management is seeking a detail-oriented and organized Associate Registrar to support the firm's administrative operations, maintain accurate records, coordinate documentation, and assist with internal reporting and information management.

The successful candidate will help ensure that client and operational records are accurately maintained, documents are processed efficiently, and information is handled confidentially. This position requires strong organizational skills, attention to detail, and the ability to manage multiple administrative responsibilities in a remote work environment.

• Maintain, update, and organize electronic records, databases, and administrative files.
\n
• Review documents for completeness, accuracy, and consistency before processing.
\n
• Coordinate the preparation, filing, retrieval, and secure storage of company documentation.
\n
• Assist with tracking documentation deadlines, record updates, and outstanding administrative requirements.
\n
• Support internal reporting by compiling information, preparing spreadsheets, and maintaining accurate records.
\n
• Coordinate with financial advisors and administrative personnel to ensure documentation is processed efficiently.
\n
• Monitor recordkeeping procedures and recommend improvements to administrative workflows.
\n
• Respond to internal inquiries regarding documentation, record status, and administrative processes.
\n
• Protect confidential information and follow company policies for data security and record retention.
\n
• Participate in virtual meetings and support additional administrative projects as assigned.

• Associate degree or bachelor's degree in Business Administration, Records Management, Finance, Office Administration, or a related field preferred.
\n
• One or more years of experience in records administration, office coordination, data management, or administrative support preferred.
\n
• Strong organizational skills and excellent attention to detail.
\n
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
\n
• Ability to manage electronic records, prepare reports, and maintain accurate databases.
\n
• Excellent written and verbal communication skills.
\n
• Ability to handle confidential information responsibly.
\n
• Strong time-management skills and the ability to work independently in a remote environment.

• Annual Salary: $58,782.00 - $89,400
