Reporting to the CEO, this role oversees day-to-day organizational operations — including HR and people operations, technology systems, vendor and consultant relationships, financial process coordination with our outsourced bookkeeper, and governance and board administration. You'll help keep SVCN's systems, processes, and infrastructure running smoothly so we can focus on our mission: strengthening the capacity, sustainability, and voice of Silicon Valley's nonprofit community. This is a hybrid role based in San José. Position Summary: The Operations + People Manager at Silicon Valley Council of Nonprofits (SVCN) is a key management position that reports directly to the Chief Executive Officer (CEO) and helps ensure the smooth and effective operation of the organization. This multifaceted role combines organizational operations, people operations, technology systems, vendor management, governance administration, and organizational compliance. The Manager also serves as the primary liaison with SVCN's outsourced finance professionals, coordinating accounts payable and receivable processes, payroll administration, revenue and expense tracking, financial documentation, and routine financial reporting. Responsibilities include supervision of operations staff, organizational project management, vendor coordination, governance administration, and support for organizational events, retreats, and board operations. This position is based in San José, California. SVCN operates in a hybrid work environment. Staff members are expected to work from the office a minimum of two days per week and attend additional in-person meetings, events, retreats, and organizational activities as needed. Examples of Duties: Organizational Operations Improve administrative processes to ensure SVCN operates effectively and efficiently. Develop and implement operational systems, workflows, policies, and procedures. Coordinate organizational planning and implementation efforts across teams. Supervise operations and administrative staff. Support organizational project management and cross-functional coordination. Manage facilities, equipment, inventory, office supplies, storage, and workspace needs. Oversee coordination of staff meetings, retreats, trainings, and organizational events. Human Resources and People Operations Serve as the primary internal point of contact for day-to-day human resources administration. Manage recruitment, onboarding, offboarding, and employee lifecycle processes. Coordinate employee benefits administration and communication. Maintain personnel files and employment records in compliance with applicable laws and regulations. Support employee engagement, professional development, and workplace culture initiatives. Coordinate performance evaluation and staff development processes. Work with the CEO to maintain and update organizational policies and employee handbook materials. Monitor workplace compliance requirements and coordinate required filings and documentation. Technology and Systems Administration Manage relationships with technology vendors, consultants, and service providers. Serve as the primary administrator or coordinator for organizational systems including Salesforce. Manage user accounts, permissions, software licensing, and technology onboarding. Coordinate technology implementations, upgrades, and staff training. Support organizational cybersecurity, accessibility, and data management practices. Research and implement technology solutions that improve organizational effectiveness. Financial Operations Coordination Serve as the primary liaison to SVCN’s outsourced bookkeeper, payroll provider, and other finance vendors, coordinating workflows, collecting documentation, routing approvals, and tracking due dates to keep financial processes organized. Coordinate accounts payable and receivable processes, including collecting and organizing supporting documentation and routing approvals. Processing payments is the responsibility of SVCN’s outsourced bookkeeper. Support revenue tracking and coordinate documentation needed for invoicing. Creating customer invoices and processing payments are the responsibility of SVCN’s outsourced bookkeeper; the Manager maintains sufficient working knowledge of these processes to provide backup coverage during the bookkeeper’s absence. Coordinate payroll administration by collecting and organizing timesheets, documentation, and approvals, and track retirement contributions and related documentation. Processing payroll is the responsibility of SVCN’s outsourced bookkeeper; the Manager maintains sufficient working knowledge of this process to provide backup coverage during the bookkeeper’s absence. Support budget monitoring and grant tracking, and coordinate the workflow for routine financial reporting. Understand day-to-day finance and accounting processes well enough to provide daily oversight of workflows (with the CEO retaining ultimate oversight responsibility). Ensure the maintenance of financial records and documentation needed for audits, grant reporting, and compliance purposes. Coordinate insurance renewals and related organizational documentation. Support the CEO and external finance professionals in annual budgeting, audit preparation, and board reporting processes. Vendor and Consultant Management Manage relationships with key organizational vendors and consultants. Coordinate contracts, renewals, scopes of work, and vendor performance. Support procurement and purchasing processes. Ensure vendors have appropriate documentation, insurance, and contractual requirements on file. Governance Administration and Organizational Compliance Serve as the primary staff administrator for board records, governance documents, and organizational compliance files. Oversee maintenance of board rosters, officer records, committee records, and governance documentation. Oversee preparation, distribution, retention, and archiving of board and committee materials. Record, finalize, and maintain official board and committee minutes. Support board onboarding, annual disclosures, and governance processes. Coordinate board signatures, approvals, and required documentation. Maintain organizational compliance calendars and monitor filing deadlines. Coordinate charitable reporting requirements, business licenses, insurance renewals, and other organizational compliance obligations. Maintain corporate records and support organizational document retention practices. Board Support Support the CEO in preparing for Board of Directors meetings and committee meetings through scheduling, logistics, communications, and materials preparation. Assist with board meeting agenda development and board packet preparation. Track board actions and follow-up items. Facilitate presentations by staff, consultants, and external partners. Other Support organizational culture by planning team-building activities, staff retreats, and other efforts that foster a positive and inclusive workplace. Support SVCN’s major events, including Be Our Guest, workshops, trainings, member convenings, and other organizational gatherings. Working in a small, collaborative team, contribute to event logistics and operations as needed, including setup, registration, supply coordination, and breakdown activities. Perform other duties as assigned to support a small, high-performing nonprofit organization. Desired Qualifications Bachelor’s degree or, alternatively, commensurate experience in nonprofit operations, business administration, human resources, organizational management, or a related field. Three or more years of progressively responsible experience in nonprofit operations, people operations, administration, project management, human resources, and vendor relations. Demonstrated passion for nonprofits and contributing to the community. Strong desire for and experience building and maintaining positive relationships with people from diverse backgrounds. Commitment to advancing racial justice, equity, diversity, and inclusion. Experience with Salesforce, Gusto, FormAssembly, Excel, and financial systems such as QuickBooks Online strongly preferred. Comfort using a variety of software platforms including Microsoft Office, Google Workspace, Zoom, Slack, Box, Asana, Stripe; and comfort adopting digital platforms. Familiarity with Canva, Webflow, and Mailchimp a plus. Demonstrated ability to learn, implement, and optimize new technologies and systems to improve organizational effectiveness. Demonstrated success in developing fair company policies, resolving personnel conflicts, and aligning operational procedures with HR best practices. Excellent oral and written communication skills. Strong problem-solving, organizational, project management, and interpersonal skills, with the ability to exercise sound judgment and navigate complex situations with professionalism and discretion. Ability to work independently while thriving in a highly collaborative environment. Ability to manage multiple priorities with a positive, flexible, and solution-oriented approach. Experience supervising staff and supporting employee development. Local residency or willingness to relocate by start date. Compensation And Benefits This is a full-time, exempt, at-will position. The beginning annual salary range for this role starts at $80,000 and is ultimately determined based on the candidate’s experience. 100% coverage of Kaiser Health Benefits for employees and dependents or $250 per month stipend in lieu of insurance. 403(b) retirement with a 3% match after 1 year of employment.
