Healthy Kids Extended Day Programs is a rapidly growing childcare organization providing before- and after-school programs, summer programs, Early Learning Centers, and Universal Pre-Kindergarten programs to children and families across approximately 15 states.

About the Role
Healthy Kids is seeking a highly organized, detail-orientedCompliance Coordinatorto support documentation, licensing, and compliance activities across our growing, multi-state organization.
Reporting directly to the CEO and working closely with Operations, Registration, HR, and other departments, this role will help ensure that required documentation, licensing information, and compliance records are accurate, organized, and up to date.
A primary focus will be tracking children's required medical and health documentation, identifying missing or expiring records, and coordinating follow-up to help ensure requirements are met.
This is a hands-on administrative role for someone who enjoys organization, documentation, tracking, follow-up, and problem-solving. The position does not involve providing medical advice or making clinical determinations.
Key Responsibilities
Track required medical and health documentation for children across multiple states.
Review records for missing, incomplete, or expired documentation.
Monitor expiration dates and coordinate follow-up on required updates.
Maintain accurate spreadsheets, databases, checklists, and compliance records.
Track state-specific childcare licensing and documentation requirements.
Monitor regulatory deadlines, renewals, and expiration dates.
Assist with keeping internal compliance information current as requirements change.
Organize documentation for licensing reviews, inspections, and audits.
Track outstanding compliance items and follow up through completion.
Prepare routine compliance reports and provide the CEO with updates on outstanding items.
Communicate with internal teams to obtain missing information and resolve documentation issues.
Identify discrepancies or potential compliance concerns and escalate them to the CEO or appropriate department.
Maintain confidentiality when handling children's, family, and employee information.
Assist with compliance projects and other related administrative duties as assigned.

Required Qualifications
Excellent organizational skills and attention to detail.
Strong follow-through and ability to manage multiple deadlines.
Strong computer skills and comfort working with spreadsheets and databases.
Accurate data-entry and recordkeeping skills.
Strong written and verbal communication skills.
Ability to identify discrepancies and follow up until issues are resolved.
Ability to work independently while collaborating with multiple departments.
Professionalism and discretion when handling confidential information.
Willingness to learn and work with requirements across multiple states.
Preferred Qualifications
Previous administrative, compliance, or office support experience.
Experience with spreadsheets, databases, or document-management systems.
Experience in childcare, education, healthcare, human resources, or another regulated environment.
Familiarity with licensing, regulatory documentation, quality assurance, or audit preparation.
Childcare or multi-state compliance experience is helpful but not required.
Schedule & Compensation
Part-Time | $21–$24 per hour
The specific part-time schedule will be discussed during the interview process based on business needs and candidate availability.
This is an in-person position in Fishkill, NY.
