Office Manager / Creative Admin

Mills Wealth Advisors is a Southlake-based wealth management firm managing roughly $650M for around 350 families. We're high-touch, fast-moving, and proud of it. We're hiring an Office Manager who can keep this place running like a machine. This is not a seat-warming role. We need someone who moves fast, sweats the details, and takes ownership. You'll keep the office, our systems, and our people on track, and you won't wait to be asked twice. What you'll do Run the office. Keep the Southlake office humming day to day: front-desk and client experience, supplies, facilities, and vendors. You're the person who notices what needs handling and handles it. Keep us organized. Own scheduling and calendars (Calendly), meeting logistics, and the flow of paperwork so nothing slips through the cracks. Lead the bench. Oversee our younger employees and keep projects and our forms moving, on track, and done right. You set the pace and hold the line on quality. Support the team. Be the operational right hand to our advisors and client service associates, keeping tasks moving and follow-ups on time. Guard the details. Keep our CRM (Redtail) and documents clean and current, and make sure client-facing work goes out accurate and on time. Coordinate the moving parts. Work with our outside partners (bookkeeping, compliance, custodians) so the back office runs smoothly. You'll thrive here if you are: Technically fluent. You pick up new software quickly and aren't intimidated by a full tech stack. We run on Claude (AI), Redtail CRM, Microsoft Office 365, and Slack. Comfort with tools like these, or the confidence to learn them fast, is a big plus. Fast and organized. You work quickly without dropping balls. You'd rather clear the list than let it pile up. Detail-obsessed. Typos, missed follow-ups, and “close enough” drive you a little crazy, in the best way. Direct and accountable. You hold people (and yourself) to a high standard, follow through, and aren't afraid to have the tough conversation when something's slipping. We value someone who tells it straight. Experienced. You've got 5+ years running an office or managing operations and can walk in and take the reins with minimal ramp-up. If you've run a medical, legal, or accounting practice, you'll fit right in here, even though it's a different industry.
